| Job Summary |
This position will be located at the University of Texas at Dallas in Richardson.
We are seeking a driven, detail-oriented professional who is internally motivated and takes ownership of their work. The ideal candidate is a clear and effective communicator who works well independently, exercises sound judgment and manages multiple priorities with confidence. While primarily an individual contributor, this role also requires the ability to collaborate effectively with faculty and staff to support shared goals. The successful candidate is proactive, adaptable, and thrives in a fast-paced environment.
This position partners department faculty and staff to manage financial and research administration activities. Responsibilities include overseeing budgets, financial records, procurement, and day-to-day operations to support both sponsored and non-sponsored research. The role plays a key part in ensuring compliance with applicable regulations and university policies, contributing to the department's operational effectiveness and long-term financial sustainability. |
| Minimum Education and Experience |
Bachelor's degree and four years of general office, accounting or business related experience or an equivalent combination of education and experience. |
| Preferred Education and Experience |
- Experience supporting sponsored research or grant-funded projects, preferably in higher education.
- Strong working knowledge of financial administration, including budgeting, procurement, travel, and compliance within public or institutional settings.
- Demonstrated ability to work independently, solve problems proactively, and make sound decisions without detailed direction.
- Excellent written and verbal communication skills, with the ability to clearly convey policies and financial information.
- Proven ability to manage multiple priorities and deliver accurate results in a fast-paced environment.
- Strong customer service mindset with the ability to build effective working relationships.
- Experience with enterprise systems (e.g., PeopleSoft, Jaggaer, Concur) and Microsoft Office tools.

To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position. |
| Essential Duties and Responsibilities |
- Advise faculty on financial management of sponsored and non-sponsored accounts, including spending, rebudgeting, reporting, and closeout in compliance with sponsor and institutional policies.
- Independently perform monthly reconciliation and analysis of all cost centers; identify discrepancies, execute corrections, and implement process improvements to prevent recurrence.
- Monitor budgets and projections; meet with stakeholders to ensure alignment with funding constraints and prevent over- or under-spending.
- Manage end-to-end procurement activities, including sourcing quotes and internal documents, preparing requisitions, coordinating vendors, and utilizing purchasing cards in compliance with policies.
- Coordinate and process travel for research activities, ensuring all expenses are allowable, documented, and approved.
- Maintain compliance with university, state, and federal regulations by staying current on policies and coordinating with central offices.
- Develop, maintain, and improve departmental SOPs to ensure consistency and efficiency in operations.
- Serve as a resource to faculty, staff, and students on financial, purchasing, and travel processes.
- Complete additional responsibilities as needed to support departmental operations.

Preference will be given to internal candidates.

Remote Work Notice: After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. May be required to use personal computer and other standard office equipment. Must be located within the
DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
