A Day in the Life: Insurance and Contracts Manager

The Insurance and Contracts Manager is responsible for leading Trinity's contract management and insurance administration workflows across transportation, brokerage, and logistics operations. This role oversees the lifecycle management of customer, carrier, vendor, and insurance-related agreements, ensuring contracts are executed efficiently, aligned with operational requirements, and compliant with company standards and risk tolerance.

This position serves as a key liaison between Legal, Risk, Operations, Finance, carriers, customers, brokers, and insurance partners to support contract negotiations, certificate management, policy administration, claims coordination, and workflow optimization. The Manager is responsible for developing scalable processes and controls that improve visibility, reduce risk exposure, and streamline the intake, review, approval, renewal, and retention of contracts and insurance documentation.

The role also oversees workflows related to carrier insurance compliance, contractual liability requirements, certificates of insurance, cargo and shipper's interest programs, and claim-related documentation. Through collaboration with internal stakeholders and external partners, the Manager helps ensure Trinity maintains strong operational controls while supporting business growth and customer requirements.

REMOTE ELIGIBILITY: Hybrid - Delaware 1-2 days per week in-office

ESSENTIAL FUNCTIONS:

Insurance Program Oversight



  1. Leads in conjunction with the CFO in the strategy, structure, and negotiation of all corporate insurance programs, including Contingent Cargo, Shipper's Interest, Contingent Auto Liability (Truck Broker/3rd Party Liability) and General Liability for Truck Brokers.
  2. Partner with brokers, underwriters, and Burris corporate risk teams to evaluate insurance performance, claims history, premiums, and renewals to ensure optimal protection and cost efficiency.
  3. Manage vendor and partner relationships related to insurance administration, certificates of insurance (COI), claims adjusters, and third-party investigators.
  4. Ensure compliance with all insurance and bonding requirements for carriers, shippers, and agents.



Contract Review & Risk Analysis



  1. Works with Burris legal team to review and negotiate contracts with customers, carriers, and vendors to ensure alignment with Trinity's risk tolerance and operational needs.
  2. Identify and mitigate contractual risks, including indemnification clauses, insurance requirements, liability exposure, and service-level obligations.
  3. Collaborate with Legal and Sales teams to develop contract templates and playbooks that support scalable, compliant growth.
  4. Lifecycle Management: Oversee the full contract lifecycle, including technology, vendor, carrier, and customer agreements, by proactively tracking renewals, expirations, and execution status to mitigate operational risk.
  5. System Administration: Serve as the lead administrator for the Contract Management System (CMS), ensuring all cross-departmental agreements are accurately digitized, categorized, and indexed for immediate retrieval.
  6. Records Governance: Maintain a centralized, audit-ready repository of all executed contracts, ensuring rigorous documentation standards and data integrity across the organization's entire portfolio.



Risk Management & Strategy



  1. Identify, assess, and mitigate risk across transportation operations.
  2. Develop and implement best practices for high-value shipments and specialized freight.
  3. Advise internal teams on insurance requirements, coverage limitations, and risk exposure.
  4. Support fraud prevention initiatives in partnership with Compliance, Technology and Operations.



Claims Optimization



  1. Analyze claims trends to identify systemic risk drivers and recommend process improvements or preventive measures.
  2. Maintain partnerships with investigative and recovery agencies (e.g., CargoNet, private detectives, law enforcement) to recover losses and strengthen fraud prevention frameworks.


Enterprise Risk Management



  1. Develop and maintain Trinity's enterprise transportation risk register, identifying operational, financial, and reputational risks.
  2. Guide and structure fraud-prevention initiatives, including double-brokering mitigation, load-theft investigations, and integration with platforms like Highway, CargoNet, and insurance carrier alert systems.
  3. Guide departments in the creation and enforcement of SOPs related to risk, insurance compliance, RCMS, and Ecovadis.
  4. Collaborate cross-functionally with operations, legal, and technology to improve visibility into risk signals and automate compliance monitoring.



Compliance & Sustainability Programs



  1. Lead Trinity's Responsible Care Management System (RCMS) certification and ensure adherence to environmental, safety, and sustainability standards.
  2. Manage submission and ongoing maintenance of Trinity's EcoVadis sustainability profile.
  3. Ensure compliance with FMCSA, DOT, PHMSA, and other regulatory bodies' insurance and safety standards.



Strategic Leadership & Communication



  1. Serve as the internal advisor on all insurance and risk matters to senior leadership and executive teams.
  2. Prepare quarterly and annual risk reports summarizing claims trends, insurance performance, and risk exposure metrics.
  3. Educate internal teams on insurance coverage, claims prevention, and risk mitigation best practices.
  4. Represent Trinity at industry events and associations (TIA, TAPA, CARGONET, etc.) to maintain awareness of evolving transportation risk trends.


Operational & Cross-Functional Support



  1. Act as the subject matter expert for Sales, Operations, and Customer teams on insurance-related questions.
  2. Support customer-facing conversations related to coverage, risk mitigation, and value-added services.
  3. Assist in contract reviews to ensure insurance requirements are understood and achievable.
  4. Collaborate with Carrier Compliance on insurance verification standards and requirements.
  5. Ensure adherence to regulatory requirements and SOPs, and internal policies.
  6. Maintain documentation and audit readiness for all insurance programs.
  7. Monitor industry trends, emerging risks, and changes in coverage standards.
  8. Stay informed on evolving federal, state, and transportation industry regulations impacting brokers, carriers, insurance, and risk management practices.
  9. Lead change management initiatives related to regulatory or compliance updates, including process implementation, stakeholder communication, training, and operational alignment to ensure ongoing organizational compliance and risk mitigation.
  10. Participates in special projects and handles all other assigned duties as required.



JOB QUALIFICATIONS:



  1. Bachelor's degree in Risk Management, Finance, Supply Chain, or related field (CPCU/ARM designation preferred).
  2. Minimum 7-10 years of progressive experience in insurance, claims, or risk management within the transportation or logistics sector.
  3. Deep understanding of contingent and shipper's interest insurance, freight claims, and transportation liability frameworks.
  4. Strong analytical and negotiation skills with the ability to translate data into actionable insights.
  5. Proven success in managing broker and underwriter relationships.
  6. Excellent communication and leadership skills with the ability to collaborate across diverse internal and external teams.
