Job Description

The Event Operations Manager plays a key role in delivering high-quality, client-focused event services that support both internal campus stakeholders and external clients. This position is responsible for overseeing the planning, coordination, and execution of events across multiple venues, and ensuring seamless operational support. Reporting to Director of UMSL Event Operations, the Events Manager leads efforts in client development, event logistics, contract negotiation, and marketing outreach. The role requires a proactive, detail-oriented professional who thrives in a dynamic environment and is committed to creating exceptional event experiences.

Key Responsibilities

Event Planning and Management

  • Serve as project leader on specific events, overseeing all aspects of each event and coordinating teams that plan, implement, and manage event logistics such as: AV, equipment/furnishings, registration, catering, managing vendors, etc. Provide on-site event management and support.
  • Assist with the booking and management of key event spaces on campus. Inspect event facilities to ensure they conform to the event needs. Create specialized floor plans and coordinate event setup/take down.
  • Negotiate and monitor contracts in conjunction with Business Services and the UM System Contract Portal, especially for high-profile and multi-service events.
  • Procure insurance certificates, permits, and other necessary documentation for events to ensure alignment with campus, local, and state requirements.
  • Provide on-site coordination during events, including nights and weekends as needed.
  • Assist in managing event management and venue scheduling software such as Mazevo and All Seated. Support the maintenance and optimization of tools that enhance the client experience.
  • Manage project communications and ensure all event components are aligned with client expectations.

Sales and Client Development

  • Develop and implement effective sales strategies to attract and retain clients, managing relationships with both on- and off-campus clients.
  • Promote and maximize the use of conference and event spaces by responding to inquiries, conducting facility tours, and facilitating client meetings.
  • Research and provide recommendations to optimize event locations and evaluate alternatives and availability.

Finance and Assessment

  • Monitor and manage the financial flow of events throughout from intake to post-event collections.
  • Ensure timely billing, contract closure, and payment processing within the Mazevo system.
  • Prepare post-event analysis to assess opportunities and make recommendations for improving events and services to internal and external constituencies, and to implement recommendations as appropriate.

Shift

40 hours/week. Monday thru Friday

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

The candidate must possess the ability to work effectively in a team and a fast-paced environment while meeting strict deadlines. There will also be times when the candidate will be expected to complete tasks, make decisions, and communicate with staff with little or no supervision. Must be able to multitask and take initiative when necessary.

Experience using the following software/platforms:

  • Microsoft Office
  • PeopleSoft
  • Event Diagraming Software
  • Mazevo or EMS
Anticipated Hiring Range

Salary Range: $53,976-$69,576 per year
Grade: GGS- 9E
