The Practice Team Assistant will play a key role in supporting daily operations, coordinating administrative tasks, managing documentation, and ensuring attorneys and support staff receive efficient and high-quality assistance across a wide range of responsibilities. Responsibilities
- Provide administrative and clerical support to attorneys, legal support assistants, specialists, and practice group personnel
- Open, organize, and distribute interoffice mail for assigned team members
- Answer and manage attorney phone calls as needed
- Coordinate lunch orders, car services, conference calls, web meetings, and scheduling requests
- Greet clients and visitors professionally and escort them to meeting spaces while ensuring a positive experience
- Conduct administrative research, prepare reports, manage information requests, and draft correspondence for signature
- Proofread and review documents for accuracy, grammar, syntax, and completeness
- Handle confidential and sensitive information with discretion and professionalism
- Schedule and coordinate meetings, conference rooms, travel arrangements, and related logistics
- Prepare and process expense reports, reimbursements, travel documentation, and check requests in compliance with firm policies
- Track receipts, reimbursements, credits, and accounting reconciliations through completion
- Assist with document revisions, formatting, editing, and proofreading overflow work
- Support internal procedures related to audit letter responses and legal documentation
- Enter and submit attorney time entries and maintain supporting records as requested
- Create, maintain, organize, and archive legal and administrative files
- Perform document management tasks, including e-filing, scanning, PDF conversion, printing, copying, and records maintenance
- Coordinate messenger services, copy center requests, and facsimile distributions
- Update and maintain attorney contact information within the firm's CRM system to support business development initiatives
- Assist with special projects and provide additional administrative support as needed
- Collaborate effectively with attorneys, legal staff, and administrative teams across the firm
