ROLE OVERVIEW:

This position supports the management, tracking, and maintenance of company equipment while providing basic accounting support related to equipment records and costs. This position ensures accurate equipment inventories, assists with documentation and reporting, and collaborates with finance and operations to maintain compliance with company policies and financial controls.

The typical schedule is Monday - Friday 8 hours a day, however, the actual schedule is flexible.

DUTIES AND/OR RESPONSIBILITIES (summary of components that make up the job)



  1. Must be able to work independently
  2. Must be able to work with customers, vendors and other employees in a friendly and cooperative manner.
  3. Must be self-motivated.
  4. Maintain accurate records of company equipment, including location, status, assignments, and lifecycle changes
  5. Enter equipment-related data into accounting or asset management systems
  6. Support reconciliation of equipment records with accounting or fixed asset reports
  7. Assist with depreciation support documentation and asset disposals
  8. Monitor equipment-related expenses and report discrepancies
  9. Maintain organized files to support audits and financial reviews
  10. Always work safely and take action to prevent any and all unsafe actions, processes, and behaviors.
  11. Generate purchase orders and work order for repair. Enter equipment meter reading, daily inspection sheets, and fuel usage.
  12. Manage workflow, set priorities, and ensure deadlines are met.
  13. Verify and summarize details of business transactions/statements. Check merchandise against accounts payable invoices.
  14. Perform other duties as assigned.


KNOWLEDGE, SKILLS, AND ABILITIES (types and extent of knowledge, skills or abilities an incumbent must possess to complete the job responsibilities satisfactorily)



  1. Excellent written and verbal communication skills.
  2. Strong organizational skills.
  3. Knowledge of MS Office (Word, Excel, Outlook).
  4. Able to work independently and under time constraints.
  5. Basic data analysis and reporting


MINIMUM REQUIREMENTS (minimum educational, experience, or other relevant job requirements)



  1. High school diploma or equivalent (associate's degree in accounting, Business, or related field preferred)
  2. 1-3 years of experience in equipment coordination or accounting support roles
  3. Basic knowledge of accounting principles and recordkeeping
  4. Proficiency in Microsoft Excel and data entry
  5. Strong attention to detail and organizational skills
  6. Ability to handle confidential information


PREFERRED REQUIREMENTS (preferred requirements i.e. certifications, software use, etc.)



  1. Experience with inventory, equipment management, or fixed asset systems
  2. Experience working with ERP or accounting software
  3. Prior experience supporting audits or inventory counts
