Job Title: Administrative Assistant

Business Title: Professional Education Coordinator

Supervisor: Manager of Professional Education

Location: Roseville, California

Level: L03

Grade: 15

Duties include but are not limited to the following:

Job responsibilities and knowledge

  • Works as primary point of contact for Instructors, Training Site Coordinators, and Training Center partners.
  • Processes instructor certifications, renewals, and record maintenance.
  • Processes and maintains Training Site files and records.
  • Collaborates with Professional Education personnel to support class scheduling.
  • Collaborate with website administrator and billing department.
  • Facilitates reporting, record maintenance, certifications, equipment, and guideline compliance.
  • Prepares Instructor Course paperwork.
  • Facilitates and prepares external Training Site contracts in partnership with Professional Education Leadership.
  • Responsible for facilitating orientation meetings, Training Site Implementation meetings, and other meetings as needed.
  • Frequently presents in virtual meetings using presentations slides and polls.
  • Uses PowerPoint to develop meeting content.
  • Collaborates with organizational leaders to facilitate Professional Education events, processes, and any other needs.
  • Compile and submit required reports.
  • Perform a wide range of administrative duties including sending/receiving and distributing emails, sorting and responding to mail, including incoming and outgoing shipments, greeting visitors, routinely checking and processing work from designated queues, and preparing extensive regulatory reporting.
  • Send student correspondence related to certifications, verifications, and status updates.
  • Maintain the AHA Instructor Alignment database and ensure updates are completed in a timely manner.
  • Enter accurate student information into the internal database and maintain data integrity.
  • Perform other related duties as assigned to support departmental and organizational goals

  • Utilizes tact and appropriate problem-solving process when dealing with issues identified.
  • Relays concerns and initiates problem solving in a timely manner.
  • Interacts positively with staff members, instructors, and students.
  • Uses discretion and maintains confidentiality regarding student information.

Fiscal responsibility

  • Executes job duties to achieve optimal productivity and efficiency.
  • Demonstrates an appreciation of cost factors in the routine performance of duties; maximizes cost efficiency; implements resource management strategies.
Knowledge, skills & abilities
  • Ability to communicate clearly and concisely, both verbally and in writing.
  • Ability to work with other employees, supervisors and external parties.
  • Ability to maintain confidentiality of privileged information gained as result of job functions.
  • Ability to work independently and under pressure.
  • Ability to present and lead virtual meetings.
  • Demonstrates accuracy and proficiency in use of computer and software programs used by the Program, specifically demonstrated proficiency in the Microsoft Office suite.
  • Preferred- advanced knowledge of Excel to include use of pivot tables, formulas and macros.
  • Ability to establish and maintain long-term customer relationships, building trust and respect by consistently meeting and exceeding expectations.
Education
  • High School or GED diploma required
Experience:
  • At least two years administrative experience, which includes previous experience working independently, prioritizing, managing multiple tasks and meeting deadlines.
  • EMS or Healthcare administrative experience preferred.
