Position Summary:

The Department of Psychiatry is seeking a full-time Administrative Coordinator to support the Vice Chairs and the Department Administrator with a variety of general administrative duties
and projects.

Job Responsibilities:

Provides specialized administrative support to the Vice Chairs and to the Department Administrator including but not limited to scheduling meetings and preparing and distributing correspondence and announcements.

Coordination and submission of annual mentor letters in conjunction with the Vice Chair for Faculty Development and Mentoring.

Disseminates information to students, residents, post-doctoral fellows, and research staff interested in participating in the Annual Psychiatry Research Day; secures location and catering for the event.

Ensures Brightspace site content related to wellness, promotions, research and professional development resources and memberships is up to date.

Sends reminders and tracks annual faculty career development meetings. Supports Vice Chair for Education in tracking Doximity votes and sends reminders to achieve 100% voting participation annually.

Assists with Departmental Appointments and Promotions Committee activities; prepares agenda and minutes, submits paperwork for new appointments, and packages for promotion and tenure through the Faculty Affairs Management Tool.

Sends reminders to the faculty and staff regarding required compliance training, flu vaccinations, etc.

Works with the web team, faculty, and administration on updating Departments website.

Ensures all faculty profiles are compliant in accordance with institutional guidelines.

Collects data from varied sources to prepare summaries, create reports and presentations as needed.

Supports leadership in ad hoc project planning/coordination of special projects.

Minimum Qualifications:
To qualify you must have a Bachelor's Degree required with 2 years of relevant experience, or the equivalent combination of education and experience. The successful candidate must also possess excellent interpersonal, verbal and written communication, and organizational skills. Knowledge of standard office software is essential, including proficiency with word-processing, spreadsheet and database software (e.g., Microsoft Office, preferred). Ability to multi-task and/or coordinate multiple assignments is required. Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing; excellent problem-solving skills is required.

Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $66,300.00 - $75,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
