Administrative Assistant II - Dental Clinic

The Champaign-Urbana Public Health District (CUPHD) is seeking an Administrative Assistant II for a full-time (40-hour week) for the Dental clinic. Are you a highly detail-oriented professional who thrives in a fast-paced environment with complex administrative responsibilities? We are seeking an Administrative Assistant II to support our Child & Teen Dental Clinic. This role goes beyond front-desk functions, taking ownership of higher-level administrative processes such as insurance verification, managing patient communications, coordinating records and external paperwork, and actively monitoring and optimizing the clinic schedule. This position requires strong critical thinking, initiative, and accountability, as it plays a key role in ensuring operational efficiency and maximizing patient access to care. Responsibilities include:


  • Performs data entry from various complex data collection/reporting system, including insurance verification.
  • Coordinates sealant school paperwork with school staff, file forms in patient charts, and submit required reports/billing on time.
  • Serves as the main contact for non-urgent patient questions and requests.
  • Verify identity/authorization; obtain consent for all records requests and complete and send exam forms (e.g., school/medical)
  • Coordinates and monitors dental schedule for daily openings; backfills cancellations and reminders/confirmations.
  • Effectively utilizes standard computer software programs, including Word, PowerPoint, and Excel to prepare reports, communications, etc.
  • Proficient in Dental services intake process and serve as back-up as needed.
  • Establishes and maintains effective working relations with employees at all levels within the district, representatives of other agencies, government officials and the general public.
  • Public Health Emergency Response Responsibilities: All District employees must be able to respond to public health emergencies when needed and appropriate. During an emergency response, employee may be assigned to a role in either operations, logistics, or administration by the Incident Commander and/or Section Chief in addition to regular duties.
  • Performs other duties as required.


Requirements and Qualifications


  • High school diploma or GED equivalent
  • AND three (3) years of progressive secretarial, accounting, bookkeeping, office supervision or coordination or related work experience.
  • Recognized post high school training in business, accounting, or secretarial may be substituted for the required experience on a year-to-year basis to a maximum of two (2) years.
  • Persons who speak Spanish are highly encouraged to apply.

The expected hourly pay is $20.24. Full hourly pay for Class 4 Administrative Assistant II is $20.24 - $27.32 for a 40-hour week.
