The City of Carlsbad, Library & Cultural Arts Department is hiring a part-time, hourly, administrative assistant to provide support to the Library Learning Center, located at 3368 Eureka Place. The Library Learning Center provides general library services in addition to literacy and bilingual programs to the Carlsbad community.

Part-time positions in the Library & Cultural Arts department are not to exceed 980 hours per fiscal year. Scheduled work hours for the position are generally weekday office hours and could include some weekend or evening hours as needed, for a total number of hours not to exceed 19 hours per week.

Key Responsibilities

  • Provide administrative assistance such as ordering supplies, submitting facility maintenance requests and posting public notices
  • Process entries into cashiering software, prepare bank deposits, reconcile financial transactions or assist in financial transactions including purchase orders and cash reconciliation
  • Record keeping including filing, spreadsheets and data entry
  • Answer phones, meet and communicate with the staff and public
  • Good written and verbal communication skills
  • Event and program assistance; logistics, planning, ordering supplies, and working at the events and programs, as needed
  • Ability to work on multiple concurrent projects and demonstrate effective time management and organization skills. Initiative and self-starter skills are essential

  • Bilingual (English/Spanish) highly desirable
  • Must have a high school diploma or G.E.D.
  • Possess basic computer skills and the ability to use email as well as websites that pertain to the job

Experience & Education

Requires comprehensive administrative and computer skills; responsible clerical or secretarial experience; ease of use of various software systems. Any combination equivalent to experience and education that could likely provide the required knowledge and abilities would qualify. A typical way to acquire the skills and abilities would include at least one year of preparing reports, filing, interacting with the public, writing correspondence and planning meetings and events.

Library Learning Center, Administrative Support: Bilingual English/Spanish highly desirable

Physical Requirements: While performing the duties of this class, an employee is regularly required to sit, walk and stand. While performing the duties, employees of this class are regularly required to use written and oral communication skills; observe and interpret people and situations; learn and apply new information or skills; and interact with staff and others encountered in the course of work. Physical requirements include safely handling up to 40 pounds; for example, to set up and breakdown tables and chairs for an event.
