What's the role?

ZEISS SMT US, part of the ZEISS segment Semiconductor Manufacturing Technology (SMT), is looking for an ambitious and proactive Communications Specialist and Team Coordinator. In this role, you'll dedicate about 75% of your time to marketing and communications efforts- in close collaboration with the North America and SMT Global Communications Teams -while the other 25% supports internal operations.

Key responsibilities include coordinating internal communications, distributing marketing materials, ensuring brand consistency, organizing company events, and preparing content for newsletters, presentations and digital platforms. The position demands a highly organized individual to facilitate cross-departmental collaboration and manage routine administrative tasks. By providing outstanding support, you will help coordinate major projects, ensure timely completion, and prepare accurate, compelling presentation materials aligned with organizational objectives.

Here's what you'll do:

  • Assist in organizing and executing company events and activities related to Marcom, including logistics, vendor management, and attendee communications.

  • Assist in the development, editing, and distribution of marketing materials, newsletters, and digital content to support organizational branding and communication strategies in close collaboration with the Global and North American Communications Teams.

  • Coordinate internal communications for marketing and communications (Marcom) initiatives, ensuring consistent messaging and timely distribution of information in close collaboration with Global and North American Communications Teams.

  • Collaborate with Marcom teams on campaigns, events, and company-wide initiatives, contributing to content creation and ensuring alignment with brand guidelines.

  • Serve as a point of contact for Marcom related inquiries, supporting cross-departmental collaboration and strengthening the company's brand presence internally.

  • Serve as a liaison between the leadership team and internal stakeholders, facilitating effective communication.

  • Prepare and edit correspondence, reports, presentations, and other documentation with a high degree of accuracy and professionalism.

  • Plan, organize, and execute team meetings, events, conferences, workshops, and off-site activities, handling all logistical details, budgets, vendor contracts, and attendee communications to enhance team cohesion and culture.

  • Coordinate travel arrangements for Head of SMT US.

  • Support project management by tracking deadlines, milestones, deliverables, compiling materials, assisting with progress reporting, and following up on outstanding tasks to ensure completion of action items.

  • Process invoices, expense reports, purchase orders, monitor budgets, reconcile expenditures, and assist in preparing financial summaries and reports in compliance with organizational policies.

  • Handle sensitive information and documents with discretion, while maintaining a positive, proactive, and service-oriented approach in all interactions.

Do you qualify?

Experience & Education

  • 3+ years supporting Marketing & Communications (Marcom) or similar admin roles

  • Bachelor's degree in Business, Marketing, Communications, or related field (or equivalent experience)

Marketing & Project Support

  • Experience helping with marketing materials, newsletters, and digital content

  • Familiar with brand guidelines, campaigns, event coordination, and vendor management

Tools & Technical Skills

  • Strong skills in Microsoft Office (Word, Excel, PowerPoint, Outlook)

  • Comfortable using Microsoft Teams, project management tools, and AI technologies

  • Ability to create presentations and documents efficiently

Organization & Communication

  • Highly organized with strong multitasking abilities

  • Excellent written and verbal communication skills

  • Professional, detail-oriented, and able to handle confidential information

Work Style & Mindset

Additional Requirements

  • Understanding of business operations and industry trends

  • Open to travel up to 20% (domestic & international)

Compensation

  • Salary Range: $68,000 - $85,000 annually

  • Actual compensation will depend on factors such as location, experience, education, skills, and role scope

  • Eligible for performance bonus or sales commissions
