Job Summary
Reporting to the Associate Director for Experiential Programs, the Assistant Director of Student Employment will oversee all phases of student employment, including working with on-campus departments to support the development and hiring of on-campus student employees, including work-study (on and off-campus) and non-work-study positions. Serve as a departmental liaison with internal and external constituents on all aspects of student employment. Develop and maintain student/supervisor employee training and compliance materials. Provide training presentations to students and staff.
This position will oversee multiple professional staff.
Minimum Education and Experience
Bachelor's degree in related field and three years of work experience in a career center or similar environment OR Master's degree in a related field and one year of work experience in a career center or similar environment, preferably within a university setting; knowledge of employment processes (i.e. recruiting/hiring, training, performance management, etc.).
Preferred Education and Experience

  • Master's degree in human resources, higher education or closely related field.
  • Demonstrated understanding of Form I-9 requirements, ensuring accurate completion and compliance with regulations.
  • Experience in designing efficient onboarding processes for student employees, including utilizing electronic onboarding systems.
  • Strong communication skills to effectively convey onboarding procedures and provide necessary training to stakeholders.
  • Track record of maintaining accurate records, collaborating with campus departments, and identifying opportunities for continuous improvement in onboarding practices.
  • Experience in supervising full-time staff, possessing creative problem-solving skills, and demonstrating attention to detail.

To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.
Essential Duties and Responsibilities

  • Student Employment Coordination: Under the direction of the Associate Director of Experiential Programs, coordinate student employment operations by partnering with campus departments to facilitate the hiring of student employees in both work-study (on- and off-campus) and non-work-study roles. Key responsibilities include managing onboarding and ensuring the accurate and timely completion of I-9 forms in compliance with institutional and federal regulations.
  • HR Guidance and Department Support: Provide ongoing support to campus departments on HR-related aspects of student employment, including job postings, recruitment best practices, performance management, conflict resolution, and the consistent application of employment policies and procedures.
  • Supervision: Provide supervision and leadership to multiple professional staff.
  • Support the incorporation of Career Readiness initiatives into student employment by helping to develop tools, resources, and supervisor trainings that promote skill-building, reflection, and professional development among student employees.
  • Training and Compliance: Develop and maintain training materials and compliance procedures for student employees and their supervisors. Ensure that both students and staff are adequately trained on relevant policies, procedures, and regulations.
  • Training Presentations: Conduct training presentations for students and staff to enhance their understanding of student employment processes, expectations, and compliance requirements.
  • Program Development: Continuously assess and improve student employment programs, identifying opportunities for enhancement and implementing strategies to optimize the recruitment, training, and retention of student employees.
  • Data Management: Maintain accurate records and data related to student employment, including employment statistics and compliance documentation.
  • Collaboration: Collaborate with other departments and campus stakeholders to integrate student employment initiatives with broader institutional goals and initiatives, fostering a cohesive and supportive campus community.
  • Policy Implementation: Ensure adherence to university policies, federal regulations, and best practices related to student employment, implementing appropriate procedures and protocols to maintain compliance.

Remote Notice: After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after start date.
