The Sr. Administrative Assistant handles a wide variety of complex and confidential situations and resolves conflicts involving the clerical and administrative function of the office. They are responsible for confidential and time sensitive material; preparing routine and advanced correspondence including letters, memoranda, and reports; and they will rely on experience and judgment to plan and accomplish goals. Essential Duties and Responsibilities: * Typing, filing, ordering supplies, and other clerical duties. * Write letters and correspondence as needed. * Maintain files on correspondence. * Answer telephones, screens calls, and take messages. * Reports & Records. * Driving to and from operations posts and other errands as needed. * Maintain reports and records. * Assist in collecting data as needed. * Assist with preparation of materials as directed. * Assist with reports and issues as requested. * Schedule meetings and appointments. * Maintain schedules including travel and lodging arrangements. * Attend committee meetings and prepare minutes as directed. * Responsible for credit card reconciliation. * Prepare and verify invoices/bills for accounts payable. * Assist with and verify expenses for reporting. Non-Essential Duties and Responsibilities: * Track and maintain PTO records and requests for the company officer. * Analyze and route internal and external calls to the proper resource. * Receive, sort, facilitate dissemination of incoming mail and information to department personnel. * Maintain, scan, and index various agreement files and documents retrieval system. Minimum Qualifications: Education/Licensing/Certification: * High school graduate and more than two (2) years prior administrative experience. * Associate degree or equivalent experience. Experience: * Typically, one (1) to three (3) years' experience as an assistant supporting a company manager. * Typically, one (1) to three (3) years' experience with phone, tracking, interpersonal and pro-active and self-automate new projects. * Typically, one (1) to three (3) years' experience with basic accounting/bookkeeping. Knowledge and Skills: * Knowledge of Microsoft Word, Excel, Power Point and Outlook required.
