Job Overview
The Accounts Receivable Assistant supports the Finance team with customer billing, purchase order (PO) reconciliation, and payment processing. This role works closely with Sales Representatives and Accounts Receivable team members to ensure invoices are accurate, purchase orders are properly applied, and payments are processed in a timely manner.
This position plays a key role in maintaining efficient revenue cycle operations and supporting overall financial accuracy.
Key Responsibilities
- Handle customer invoices, including purchase order matching/reconciliation and invoice corrections or adjustments
- Manage the application of valid and accurate POs by responding to Sales Representative communications and applying POs to open invoices for customer billing
- Ensure all POs align with invoice totals and associated details; collaborate with Sales Representatives to resolve discrepancies
- Process credit card and ACH transactions and generate related transaction reports
- Support Accounts Receivable Specialists as needed
Qualifications (Knowledge & Skills)
- Basic understanding of accounts receivable, billing processes, and PO reconciliation
- Experience with accounting software (e.g., QuickBooks) preferred
- Proficiency in Microsoft Office, especially Excel and Outlook
- Strong attention to detail with a high level of accuracy
- Ability to identify discrepancies and collaborate cross-functionally to resolve issues
- Excellent organizational and time management skills with the ability to manage multiple priorities
- Strong written and verbal communication skills
- Ability to handle sensitive financial information with discretion

Experience & Education
- Experience: 1+ year of related experience preferred
- Education: High school diploma or equivalent required; additional vocational or on-the-job training a plus
