Job Description

* Support the day-to-day operations of the program

* Welcome guests and direct them to the appropriate staff in the office

* Act as a liaison, working closely with leadership in building and providing support to the youth and community advisory boards

* Provide clerical and administrative duties for the office including client billing, office purchases, inventory, participant vouchers, program invoices, meeting minutes, scheduling, and human resources support

* Assist in the development and marketing of program materials, events, and recruitment strategies

* Answer, screen, and forward incoming calls and online requests for appointments and information

* Provide basic and accurate program information in-person and via phone/emails

* Receive, sort, and distribute mail and deliveries

* Maintain office safety by following procedures and controlling access to confidential information

* Respond to issues and complaints in a friendly and timely manner

* Oversee the agency GED testing site, including admitting participants, managing online calendar, processing tests, filing documentation, and proctoring test (training will be provided)

* Perform other duties as assigned

Qualifications

* Associates degree or proven work experience as an administrative assistant or similar role

* Excellent written and oral communication skills

* Proficiency in Microsoft Office and Google Business Suite preferred

* Professional and welcoming attitude and demeanor

* Ability to be resourceful and proactive when issues arise

* Outstanding organizational and time-management skills

* Strong communicator who works well independently and with a team
