Position Summary

The University of Southern Indiana's School of Graduate Studies department is seeking a Graduate Admissions Assistant to provide administrative support to Graduate Studies and the director of Graduate Studies.

Duties/Responsibilities



  • Coordinate all aspects of graduate admissions process.
  • Serve as contact person to provide information regarding graduate admissions.
  • Communicate with applicants concerning status of applications.
  • Guide prospective students through the admission and enrollment process for all USI graduate degree programs through extensive personal communication.
  • Maintain knowledge of international student admission requirements.
  • Provide oversight of student worker application processing related work assignments.
  • Coordinate Banner forms security access for Graduate Studies support staff and graduate programs.
  • Train Graduate Studies support staff in the development, use, and maintenance of all Banner applications specific to processing applications and admissions.
  • Assist in the development of procedures for the use and implementation of Banner Student Module for recruiting, admission, and registration.
  • Organize and manage filing system of graduate admission files for multiple users.
  • Use Xtender Solutions for scanning and uploading documents and information into student files (transcripts, references and other required application documents).
  • Organize and maintain student electronic files.
  • Utilize department reports to ensure all applications are captured on appropriate reports.Review Complete Awaiting Decision reports daily.
  • Review Incomplete and Conditional reports weekly. Record and report discrepancies.
  • Communicate with graduate program directors and chairs regarding program decisions.
  • Process program decisions in a timely manner.
  • Process student change of term and/or change of program decisions.
  • Provide general administrative support to Graduate Studies.
  • Organize and maintain department records.
  • Assist in providing administrative support to the Council of Graduate Program Directors and Chairs as directed, such as recording of meeting minutes and maintaining records of council meetings.
  • Make ongoing recommendations for improvement of current practices.
  • Attend Graduate Studies recruiting and marketing activities as appropriate.
  • Other duties as assigned.


Required Knowledge and Skills



  • High school diploma or GED.

  • Three years of office experience required, a combination of education and experience may be considered.

  • Excellent oral and written communication skills.

  • Ability to coordinate multiple tasks, determine priorities, set deadlines, and complete projects.

  • Excellent interpersonal communications skills and the ability for keen attention to detail.

  • Excellent customer services skills.

  • Excellent knowledge of computers, internet, word processing, spreadsheets, database, presentation and email software.

  • Knowledge of general office equipment required including computer, telephone, copier, and phone mail.


Preferred Knowledge and Skills



  • Some college course work.

  • Knowledge of Banner student information system.


Regular Work Hours/Travel Requirements


  • Standard work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.
  • Occasional extended or irregular hours may be necessary during peak periods.
