Position Summary: The Enrollment Services Specialist is responsible for the staffing and placement of onsite and virtual counselors in close coordination with the Enrollment, Recruitment, and Training teams. This role ensures effective communication and coordination of key updates to the Seasonal Counselor Pool to support business needs and client commitments. The Enrollment Services Specialist also oversees our virtual support technology and trains support team members on day-to-day schedule updates and web scheduler landing page builds.

Job Responsibilities:

  • Maintain and update the counselor directory to ensure it contains the most up to date information.
  • Communicate key updates, changes, and expectations to the Seasonal Counselor Pool in a timely and professional manner.
  • Collaborate with Enrollment, Recruitment, and Training teams to ensure alignment of staffing plans with business needs.
  • Assist in influencing and developing engaging relationships with our counselors.
  • Monitor the efficiency of virtual support appointments, including utilization of multi-case virtual counselors.
  • Create virtual and onsite surveys to gather data and provide debrief data on the quality and performance of the counselor pool.
  • Assist in analyzing survey results and integrating insights into staffing and scheduling improvements.
  • Create and maintain standardized templates and processes for counselor outreach to confirm readiness for staffing, assess travel needs and confirm required data form completion.
  • Oversee virtual support technology, including configuration, maintenance, and optimization of scheduling workflows.
  • Maintain virtual counselor data, including availability, assignments, and changes to schedule needs.
  • Train support team members on virtual scheduler platform usage, day-to-day schedule updates, and landing page builds.

Required Skills & Experience

  • Ability to organize and simultaneously handle multiple projects in a fast-paced setting.
  • Advanced skills with Microsoft Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills.

Preferred Skills & Experience

  • Bachelor's degree or equivalent years of industry experience.
  • Experience in workforce management technology
  • Experience supporting seasonal or contingent workforces.
  • Familiarity with data reporting and basic analysis from survey and scheduling tools.
  • Background in benefits enrollment, HR services, or a similar service-oriented environment.
