Position Summary
The primary function of this position is to interface with students, faculty, and staff, while carrying out a variety of key administrative tasks in support of the Department of Classics. Main duties include working with the Classics Summer Institute Program & Study Away Program. This position will schedule courses and enter registration overrides in Banner; manage course instructor evaluations; process graduate student applications and communicate with prospective/admitted students; clear registration holds for graduate students; and process forms and assist students with Graduate School policies and procedures. This position involves access to student records; academic advising; and curriculum processing: Banner; Athena; Degree Works, and working knowledge of Google Docs, Qualtrics, QR codes, etc.
Knowledge, Skills, Abilities and/or Competencies

  • Ability to work independently and in a responsible manner to perform these duties, as well as work as part of the Classics Team and the Franklin Study Away Team
  • Strong organizational and people skills; proven skills in written communications.
  • Previous experience in the management of complex projects, including skills to identify, prioritize, and accomplish specific tasks needed to accomplish routine work.
  • Flexibility to adapt to changes in work priorities and job standards; excellent computer and technology skills, including proficiency in Microsoft Works, Excel, PowerPoint, Adobe CS6, eLC, DegreeWorks, Dreamweaver, Qualtrics, SARA; experience in the use of the Banner Student System, Athena, Argos, and NOLIJ;
  • Ability/willingness to learn other technology applications and office processes.

Study Abroad Programs Assistance:

  • Assist with recruitment by handling general FAQ inquiries for the Classics Department study abroad programs.
  • Work with study abroad program directors to schedule interviews, manage & track applicant status in the Study Away Portal.
  • Assist Department Head in study abroad program planning with the Franklin College Study Away team.
  • Clear advising holds, process course overrides.
  • Work with the Franklin Study Away Team to assist study abroad program directors with budgetary needs or questions.
  • Assist study abroad directors with program planning
  • Prepare program guidebooks.

Duties/Responsibilities
Summer Institute Assistance:

  • Assist with recruitment by handling general FAQ inquiries for Classics Summer Institute programs.
  • Support the Summer Institute program with all administrative needs, including arranging travel for Guest speakers, coordinating any event planning (ordering event food, room reservations, and any setup/cleanup).
  • Work with the Franklin Business Services Team on any reimbursements needed for the program.
  • Clear advising holds, process course overrides.
  • Provide maintenance of the Summer Institute pages on the department website.

Duties/Responsibilities
Front Desk and Student, Building, & Departmental Assistance:

  • Greet and direct foot traffic.
  • Answer main phone line and provide callers with appropriate resources or route them to the appropriate personnel.
  • Handle mail distribution for all Park Hall.
  • Serve as back up to Administrative Associate to distribute emails on departmental listservs, as requested by faculty, graduate students, and staff.
  • Checkout laptops for graduate students and instructors, as needed; This includes the maintenance of a check-out/check-in log.
  • Handle digital signage displays (coordinating design and printing with Bulldog printing);and bulletin boards for Park Hall, and keep displays current.
  • Collaborating with faculty on items they wish to have displayed; Monitoring Classics Department bulletin boards.
  • Assist in building maintenance: Park Hall security card key surveillance; intake reports of building and classroom maintenance issues, and acting as the liaison between Park Hall maintenance workers, the building supervisor, and Department of Classics administration.; Serve as backup to the Administrative Associate for submitting and tracking work orders via FMD's website.
  • Maintain organization of the supply stock and supply room: Includes day-to-day maintenance of copy machines, copy rooms, and reception area, submitting requests for repairs when needed to the appropriate company contacts, and ordering the necessary supplies (paper, toner, staples, etc.).
  • Event Planning: Handling requests for room reservations by learning and utilizing 25Live.; Organizing and assisting with the annual department holiday party and annual Classics Graduation Ceremony.
  • Prepare the annual inventory for Asset Management and coordinate LifeCycle requests with Franklin Office of Information Technology (FOIT).
  • Supervise Work Study Student Assistant(s)
  • Other duties as assigned by Department Head.
