Job Summary

As a Clerk II, you will play a vital role in ensuring accurate data management and seamless operational flow within the department. This position involves computing, classifying, recording, and verifying numerical data to maintain comprehensive and up-to-date departmental records. Your attention to detail and organizational skills will support the efficient handling of customer orders and internal documentation.

Primary Duties

  • Accurately verify and process customer orders to ensure correctness and completeness, supporting prompt fulfillment.
  • Prepare and print necessary paperwork including packing lists and Bills of Lading to maintain thorough shipping documentation.
  • Analyze and interpret department-generated reports to assist in operational decision-making and identify opportunities for process improvement.
  • Create, update, and maintain electronic and physical databases to ensure data integrity and easy retrieval.
  • Systematically file and organize all department documents, maintaining a well-ordered and accessible filing system.
  • Manage allocation and de-allocation of orders in coordination with other departments to optimize resource usage.
  • Utilize mailing and freight carrier tracking systems (including USPS, UPS, and FedEx) via internet platforms to monitor shipments and obtain delivery confirmations promptly.
  • Maintain effective and timely communication with Sales teams, Customer Service Representatives, customers, and freight carriers to coordinate order processing and resolve issues.
  • Participate actively in department meetings and project initiatives aimed at enhancing workflows and service quality.
  • Adhere strictly to standard operating procedures to support compliance and maintain operational consistency.
  • Maintain a clean, neat, and organized work environment to promote efficiency and workplace safety.
  • Demonstrate reliable punctuality and regular attendance to support uninterrupted departmental operations.
  • Perform additional duties as assigned to support the broader objectives of the department and company.

Qualifications

  • Possess strong mathematical skills essential for accurately handling numerical data and calculations.
  • Maintain excellent performance and safety records, demonstrating conscientious adherence to workplace standards.
  • Physically capable of lifting, packing, and stacking items up to 40 pounds safely and efficiently, following proper ergonomic practices.
  • Exhibit flexibility and willingness to work overtime when operational demands require it.
  • Strictly follow all safety protocols and utilize personal protective equipment (PPE) as required to ensure a safe working environment.
  • Familiarity with QAD systems is preferred, enabling efficient data entry and retrieval.
  • Demonstrated working knowledge of Microsoft Office applications including Word and Excel to prepare documentation and manage databases.
  • Showcase analytical thinking, responsibility, and conscientiousness in daily tasks to maintain high standards of accuracy and professionalism.
  • Effective communication skills, both verbal and written, to engage productively with team members and external partners.
  • Strong time management capabilities to prioritize tasks and meet deadlines consistently.
  • Physical requirements include the capacity to lift up to 50 pounds; able to reach, swivel, carry items between buildings, listen attentively, and participate in a moderate noise environment.
  • Adaptability to dynamic work conditions and readiness to contribute to team efforts under varied circumstances.

Education / Experience

  • High school diploma or equivalent General Education Development (GED) certificate is required.
  • One to three months of related work experience or equivalent training is preferred, demonstrating foundational proficiency in clerical duties and data management.
  • Combination of education and practical experience demonstrating the ability to perform core responsibilities effectively.

The actual base pay offered to the successful candidate will depend on multiple factors, including but not limited to job-related knowledge and skills, experience, business needs, geographical location, and internal pay equity. Compensation decisions are made based on the specific facts and circumstances of each role and candidate.
