Overall Purpose

The Project & Operations Manager provides executive support, team operations, and project coordination for the Head of Corporate Strategy, the Head of Internal Communications, and the Corporate Strategy, Enterprise Change, and Operational Excellence teams. This role helps ensure effective day-to-day operations, supports the execution of high-priority initiatives, coordinates leadership meetings and deliverables, and maintains key team collaboration resources. The ideal candidate is highly organized, proactive, and discreet, with strong judgment and the ability to manage multiple priorities in a fast-paced environment.

The individual exercises sound judgment, proactively anticipates needs, maintains strict confidentiality, and supports the organization's operational, risk management, security, and service standards.

Essential Functions

Executive Support & Team Operations

  • Provide high-level administrative and operational support to executives by anticipating needs and proactively executing support functions with a high degree of accuracy, discretion, and efficiency

  • Manage executive, enterprise, and team calendars, including complex scheduling, prioritization of meetings as well as coordinating end-to-end logistics for Strategy team offsites and other high-visibility meetings

  • Coordinate, schedule, and book travel arrangements and accommodations for executives, manage post-trip expense management and reimbursement

  • Track and manage vendor and travel expenditures, supporting budget visibility, reconciliation, and reporting against established trackers

Project Coordination & Execution

  • Support special projects and initiatives through tracking deliverables, preparing documentation, and following up on action items with the oversight of the team and executives

  • Help prepare executive-ready readouts (narratives, analysis, options, and recommendations), drive alignment on priorities and tradeoffs, and act as a force multiplier for leaders by tightening execution and reducing noise

  • Maintain team and enterprise collaboration resources, including Microsoft Teams channels, SharePoint sites, document retention practices, and holiday schedules

Cross-Functional Coordination

  • Coordinate execution of non-disclosure agreements (NDAs) and required documentation for external partners, including meeting logistics and visitor access

  • Handle sensitive and confidential information and support the company's commitment to risk management and protecting the integrity and confidentiality of systems and data

  • Serve as a culture champion across the Corporate Strategy and Internal Communications teams by partnering with leadership to uphold Early Warning's purpose and values while identifying new opportunities to foster a positive and inclusive office environment

Minimum Qualifications

  • Bachelor's degree or equivalent relevant experience

  • Typically, 8+ years or more of progressive experience in executive support, business operations, office management, project coordination, or related roles

  • Strong proficiency in Microsoft Outlook and working knowledge of Microsoft Word, Excel, and PowerPoint

  • Demonstrated ability to handle sensitive information with discretion and confidentiality

  • Strong organizational, written, and verbal communication skills

  • Proven ability to manage multiple priorities with accuracy and attention to detail

  • Successful completion of background and drug screening

Preferred Qualifications

  • Experience supporting senior executives

  • Experience in financial services, payments, consulting, or other regulated industries

  • Experience coordinating cross-functional initiatives and leadership deliverables

  • Experience managing SharePoint, Microsoft Teams, or similar collaboration tools

  • Experience managing travel, expenses, and budget tracking

Compensation

The base pay scale for this position in:
New York, NY is in USD per year is: $125,000 - $135,000.

Additionally, candidates are eligible for a discretionary incentive plan and benefits.

Physical Requirements

Working conditions consist of a normal office environment. Work is primarily sedentary and requires extensive use of a computer and involves sitting for periods of approximately four hours. Work may require occasional standing, walking, kneeling and reaching. Must be able to lift 10 pounds occasionally and/or negligible amount of force frequently. Requires visual acuity and dexterity to view, prepare, and manipulate documents and office equipment including personal computers. Requires the ability to communicate with internal and/or external customers.
