Job Summary
Under the general direction of the General Manager of Catering Services, the Banquet Event Specialist is responsible for providing comprehensive coordination, and event oversight, of complex campus events, as well as daily concessionary services. This position is responsible for providing and leading event operation support, excellent customer service, and provides basic culinary support to the Catering and Concessions operation.
Assists as assigned in planning and organizing internal and external business-related food service functions, symposiums, conferences, program events, banquets, and VIP services. Maintains guest lists and coordinates timely food service schedules, delivery, and services special dietary accommodations.
Responsible for facilitation of communication and coordination with multiple campus partners including event planners, dining logistics, EH&S, Fire Safety Services, TAPS, Grounds, and Facility Maintenance staff; and provides operational support of these activities to assure compliance. Responsibilities require following campus event policies and practices to ensure event plans are reviewed, processed in a timely fashion, and meet all campus expectations. The Banquet Event Specialist will actively participate in the planning, operational oversite, and execution of catering food service needs supporting all events.
The primary emphasis of this position focuses on the planning, service and organizing of catering events for Olive and Vine catering. Daily duties include managing food delivery, logistics, facility access, and guest services for catering events and concessions services. Facilitation of communication and services with clients, special guest speakers, facility maintenance staff; and provides service support for these activities.
Provide mentorship to catering career and student staff. This position will be expected to uphold the highest level of confidentiality as they will serve and lead private events. This position involves driving, loading, and unloading vehicles on a daily basis. This position would additionally support other dining units in need of service including both Residential and Retail units. - Required to hold a valid California driver's license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program
- Bachelor's degree in related area and/or equivalent experience/training.
- Experience in setting up, tearing down, and serving events involving food & beverage service in a catering, special event, restaurant setting and managing other staff in the execution of those duties.
- Experience understanding concepts, principles and practices of event planning and public relations, including event design, organization, and production.
- Experience working with a culturally diverse client population.
- Knowledge of concepts and principles of effective event planning and production and public relations.
- Basic knowledge of the campus, its mission, vision, goals, objectives.
- Organizational skills to effectively coordinate and track multiple details simultaneously.
- Ability to complete simple tasks with established deadlines and attention to detail.
Preferred Qualifications
- Experience managing financials, labor budgets, menu development, food production, handling and storage, quality control, and health and safety standards.
- Thorough knowledge of the campus, its vision, mission, programs, policies, and infrastructure.
- Knowledge of University policies and procedures relating to the use of university facilities, event management and presentation.
