As an AR/AP Specialist, you will play a key role in supporting the financial operations of Ovivo USA. You will collaborate with cross-functional teams, including procurement and operations, to ensure proper documentation and approval workflows. You will work closely with the finance controller's team to ensure accurate financial reporting, maintain strong internal controls, and contribute to strategic decision-making through insightful financial analysis. Additionally, you will assist in month-end close activities related to AR, prepare accruals, and support audit and reporting requirements. This position offers the opportunity to be an integral part of the finance team and support leadership with critical financial insights.

What is the role?

What you will do

  • Contact customers (via telephone and email) to ensure that monies due are inquired upon on or before their due date.
  • Work with Ovivo personnel to understand the status of projects/orders.
  • Process cash receipt transactions (deposit, process credit card payments, post payments) within Ovivo's ERP system (Syteline) & various banking systems.
  • Request tax exemption certificates from customers & input this information into Ovivo's ERP system.
  • Coordinate signing/sealing/notarizing of lien releases, as necessary.
  • Complete customer requested documentation (normally to establish accounts).
  • Manage the full accounts receivable lifecycle, from invoicing through cash application and collection.
  • Prepare, review, and issue customer invoices, credit memos, and debit memos in accordance with contract terms and company policies.
  • Monitor AR aging and proactively follow up with customers to ensure timely payment and resolution of overdue balances.
  • Research and resolve invoice discrepancies, short payments, and unapplied cash by partnering with customers, sales, operations, and project teams.
  • Maintain customer master data, payment terms, tax exemption documentation, and required legal or compliance records.
  • Set up and maintain customer payment portals, including uploading invoices and supporting customer inquiries related to billing and payments.
  • Assist with monthend close activities, including AR reconciliations, revenue support, accruals, and reporting schedules.
  • Reconcile the AR subledger to the general ledger and investigate differences.
  • Support internal and external audits by providing AR documentation, schedules, and explanations.
  • Other duties may be assigned as required.
  • AP responsibilities/tasks to cross-train

Position Details

  • Plano, TX Office
  • In office - 5 days a week.

Minimum Qualifications

  • 2 years of finance or accounting experience.

Preferred Qualifications

  • Bachelor's degree in Accounting, Finance or related degree
  • Accounts receivable experience
  • Global corporate environment experience.
  • Excellent work ethic with the ability to multi-task.

Annual or Hourly Compensation Range:

The pay range for this role is $29/hr - $33/hr. Many factors are taken into consideration when determining compensation, such as experience, education, training, geography, etc. We comply with all minimum wage and overtime laws.
