Job Summary
This position provides clerical secretarial support to department staff and managers. This position reports to the department manager or director.
Essential Functions
- Acts as the initial contact/correspondence with all new applicants to Beaumont Health. Receives applicants request for membership, enter applicant's information into Credentialing data base to create a stub record, add required modifiers, analyze provider data and identifies appropriate privileges and application to be sent. Sends applicant relevant application/privileges. If needed works with hospital MSO to determine correct documents.
- Receives and assesses application for completeness, corresponds with applicant to obtain missing documentation, -assigns to credentialing coordinator, manages initial correspondence with applicant. Monitors/Manages application queue to establish equal distribution of workload. Notifies leadership of any disparate in balance of work.
- Possess knowledge of credential process, workflows to support credentialing coordinators, and leadership. Maintains and proactively updates data base provider demographics on weekly cadence.
- Responds to IT provider EMR request in timely manner. Reviews and enters request into credentialing systems and notifies stakeholders to activate physician account.
- Using computer software: Microsoft Office: Word, Excel, PowerPoint, Outlook, Cactus, Kronos, PeopleSoft, Teams.
- Manages department US Postal service mail, email box/voicemail and analyzes all communications. Triages correspondence to internal team and notifies leadership of any concerns/complaint.
- Monitors and maintains department supplies/par levels. Owns purchasing process, entry, review of quotes, reviews with leadership and submissions of payments. System administrator for key applications outside of BH, iChat, Credentialing Resource Center, HC PRO.
- Manages monthly (20 - 40k) application fees, reconciles payments (physical checks and Cost Center transfers for employed applicants, and submits to finance.
- Participates in all department initiatives.
- Cross trained on basic Data Tech duties to ensure smooth operational function. Duties include, Malpractice updates, Lara licensing changes/updates in system.
- Partners with Onboarding team, on employment status/site needed, contract completion, logs status in to Onboarding tracking system. Provides applicant status information /updates to Onboarding and site inquiries.
- Possess knowledge of credential process, workflows to support credentialing coordinators, and leadership.
- Responsible for Kronos process, including time variations, for corporate credentialing department.
- Provide project administrative support, compile correspondences for agendas and distribute, and take meeting minutes and distribute, save department S drive data.
- Performs other duties as assigned.
Qualifications
Required
- High School Diploma or equivalent
- Willingness to participate in credentialing webinars and learning opportunities.
- 3 years of relevant experience, business/healthcare experience.
Preferred
- Professional courses in business, healthcare courses.
