What this job involves:

As a Medical Equipment Project Coordinator at JLL, you will assist with medical equipment procurement for large hospital projects while providing support to stakeholders including construction teams, Nurse Managers, Doctors, and Directors. This role requires developing project documentation including management plans, risk assessments, communications plans, and schedules while collaborating daily with procurement teams, stakeholders, and vendors. You'll facilitate Purchase Order negotiations with vendors and support the procurement team by generating reports and drafting Purchase Order documents with finance codes. Your coordination efforts will ensure successful equipment deliveries, installations, and final closeout of medical equipment projects while obtaining user sign-off for installations.

What your day-to-day will look like:
  • Assist with medical equipment procurement for large hospital projects while providing support to construction teams, Nurse Managers, Doctors, and Directors
  • Develop project documentation including management plans, risk assessments, communications plans, and schedules
  • Collaborate daily with procurement teams, stakeholders, and vendors while facilitating Purchase Order negotiations
  • Support procurement team by generating reports and drafting Purchase Order documents with finance codes
  • Monitor Purchase Order processes and ensure vendor awareness of PO status while providing senior project management support during procurement and installation phases
  • Coordinate vendor and contractor site visits to review field conditions during construction and pre-installation
  • Manage scheduling coordination for equipment deliveries, installations, conflict resolution, and vendor training
  • Obtain final closeout documents for purchase orders and equipment certifications while securing user sign-off for medical equipment installations
Required Qualifications:
  • Strong organizational skills with ability to manage deadlines, monitor progress, and identify/communicate risks
  • Excellent communication, problem-solving, and adaptability skills
  • General knowledge of architectural drawings and interpretation
  • Proficient with Microsoft Office suite
  • Ability to work with diverse stakeholders including clinical staff and construction teams
  • Understanding of procurement processes and Purchase Order management
  • Experience with project documentation development and management
Preferred Qualifications:
  • Knowledge of eBuilder and Bluebeam software
  • Experience with online databases (client utilizes 4 Tower for medical equipment project tracking, procurement, and installation)
  • Working knowledge of construction phases and medical equipment needs during each phase
  • Understanding of healthcare facility operations and medical equipment requirements
  • Experience with vendor management and contract negotiations
  • Knowledge of healthcare regulations and compliance requirements for medical equipment
  • Background in hospital or healthcare construction projects
