Located near the Southwestern Medical District in Dallas, the Medical Scheduler plays a critical role in coordinating patient care through accurate and efficient appointment scheduling. This position requires comprehensive knowledge of medical insurance guidelines and the ability to manage scheduling for both new and established patients. Serving as the first point of contact for patients, the Medical Scheduler completes the appointment process and related administrative tasks while consistently demonstrating a friendly demeanor, professionalism, and a commitment to excellent patient service.
Minimum Education and Experience

High school diploma or GED; at least 1 year but less than 3 years of experience in high volume medical scheduling; at least 1 year but less than 3 years of medical office experience; knowledge of medical terminology and medical insurance guidelines.

Preferred Education and Experience
Preferred Qualifications

  • Bilingual in Spanish (preferred but not required).
  • Two or more years of experience with high-volume patient scheduling, preferably in an ENT and/or Audiology practice.
  • Familiarity and experience with practice management and medical software programs/scheduling.
  • Strong personal computer literacy, including working knowledge of Microsoft Office applications (Excel, Word).

  • Strong patient relations skills and ability to provide excellent customer service.
  • Ability to work accurately with data, including checks for integrity, summation, and effective communication with internal and external stakeholders.
  • Highly organized with the ability to manage multiple tasks simultaneously and prioritize effectively.
  • Self-starter with the ability to work independently.
  • Demonstrates a high degree of accuracy and readability in all work and team projects.
  • Knowledge of and adherence to patient privacy and confidentiality standards (HIPAA).

To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.
Essential Duties and Responsibilities
Essential Duties and Responsibilities

  • Serve as the primary point of contact for scheduling patient appointments in a high-volume medical practice.
  • Accurately schedule, confirm, and coordinate patient appointments to ensure efficient clinic operations.
  • Demonstrate working knowledge of insurance guidelines, including commercial, Medicare, and Medicaid payers.
  • Obtain and verify prior authorizations and primary care provider (PCP) referrals as required.
  • Review and manage patient financial information, including copayments, deductibles, past-due balances, and insurance pending balances.
  • Verify and research patient demographic, insurance, and authorization information prior to scheduled appointments to ensure accuracy and compliance.
  • Act as a liaison between patients, clinicians, and business office staff to resolve scheduling, insurance, and billing-related concerns.
  • Provide support to front office staff with patient registration and check-out processes to ensure a positive patient experience.
  • Perform clerical and administrative support duties as needed.
  • Complete additional duties and responsibilities as assigned to support departmental and organizational goals.
