Starting Salary: $70,000-$85,000 (commensurate with experience) POSITION PURPOSE: The Chief of Staff (CoS) provides advanced, high-level administrative and project coordination support to the President/CEO and the Executive Leadership Team (ELT). This position ensures effective operations across the executive office by managing scheduling, correspondence, contract routing, compliance tracking, and board support functions. The CoS plays a critical role in creating organizational capacity by removing administrative and logistical barriers, enabling executive leaders to focus on strategic priorities and agency-wide impact. This role is designed to increase organizational effectiveness, execution discipline, and strategic alignment across the enterprise. The Chief of Staff facilitates ELT strategic and project-specific discussions, drives follow-through on complex cross-functional initiatives, and serves as the primary point person for enterprise-level project management. In addition, the role provides essential administrative and operational support to the Finance and Advancement Departments, including the management and documentation of cash and check deposits and charitable donations. This position functions as both a strategic enabler and operational stabilizer, ensuring that executive priorities translate into coordinated action, measurable progress, and timely decision-making across the organization. WHAT YOU WILL DO: Executive Partnership & Strategic Facilitation
- Serve as a trusted strategic partner to the President/CEO, helping translate vision, priorities, and decisions into executable plans.
- Design, facilitate, and document ELT strategic discussions, retreats, and project-specific working sessions.
- Prepare agendas, pre-reads, decision frameworks, and post-meeting summaries to strengthen ELT effectiveness.
- Track executive commitments, decisions, and action items, ensuring follow-through and accountability.
- Protect executive focus by triaging requests, identifying escalation points, and proactively resolving barriers.
- Manage complex calendars, coordinate meetings, and anticipate scheduling conflicts across departments.
- Draft, edit, and proofread correspondence, presentations, and briefing documents.
- Coordinate internal communications to ensure timely follow-up on executive decisions and commitments.
ELT Operations & Internal Alignment
- Support the overall functioning of the Executive Leadership Team by strengthening cadence, communication, and coordination.
- Prepare ELT meeting materials, capture outcomes, and ensure clarity on next steps.
- Support onboarding and integration of new ELT members as needed.
- Serve as a connector across departments, helping leaders work more effectively together.
Governance & Board Support
- Coordinate logistics and materials for Board of Directors, Foundation Board, and Council meetings.
- Prepare agendas, compile board packets, record minutes, and track follow-up actions.
- Support governance compliance, including filings, certifications, and document retention.
- Serve as a professional liaison between the executive office and board leadership.
Contract and Compliance Administration
- Route contracts for internal and external signature; maintain tracking logs to ensure full execution.
- Coordinate with Legal and Finance to ensure appropriate review and documentation of all agreements.
- Manage business licenses, certificates of insurance, and regulatory filings across all agency locations.
- Maintain centralized digital and physical files for contracts, policies, manuals, and compliance records.
Enterprise & Complex Project Management
- Act as the central point person for complex, cross-departmental initiatives (e.g., Future Forward 2030, major operational or governance projects).
- Develop and manage project plans, timelines, milestones, dependencies, and deliverables.
- Coordinate across ELT portfolios to surface risks, resolve bottlenecks, and maintain momentum.
- Create dashboards, summaries, and executive-level updates to support decision-making.
- Ensure alignment between strategy, resources, and execution.
Stakeholder, Communications & Special Projects
- Represent the executive office with professionalism and discretion in interactions with internal and external stakeholders.
- Support executive correspondence, briefing materials, and presentations.
- Assist with special initiatives, executive communications, and organizational change efforts as assigned.
Finance Administrative Support
- Provide administrative function support to the Finance Department, particularly in areas requiring precision, confidentiality, and coordination.
- Manage and record cash and check deposits in accordance with internal controls and finance protocols.
- Track and document charitable donations, gifts, and related acknowledgements in collaboration with Advancement and Finance.
- Ensure timely routing and documentation of financial records, forms, and supporting materials.
Meeting, Event, and Travel Coordination
- Organize executive and agency-wide meetings, retreats, and events, ensuring all logistics, AV, and catering needs are met.
- Coordinate travel arrangements for ELT members, preparing detailed itineraries and troubleshooting issues as needed.
- Attend and document key meetings, capturing notes and action items for distribution and follow-up.
WHAT YOU WILL BRING: Our ideal candidate will have a minimum of 7 years of progressive experience supporting senior executives, managing complex projects, or serving in a chief-of-staff, operations, or senior administrative role and the following:
- Nonprofit or mission-driven experience strongly preferred.
- Bachelor's degree required (Business Administration, Nonprofit Management, Public Administration, or related field preferred).
- At least 21 years of age and pass background check, physical, and drug screening, required.
- A valid driver's license in the state you reside in, proof of current vehicle insurance, and reliable transportation, required.

- Proficiency in Microsoft Office Suite and collaborative digital tools.
