Job Summary

This position plays a key role in supporting the Foundation's financial operations across a dynamic 10-college district. The role is responsible for managing accounts payable processes and maintaining accurate financial records, while performing hands-on accounting work such as general ledger entries, invoice review, and vendor coordination.

In addition to core accounting functions, this position contributes to budgeting, procurement, and contract support, while helping ensure financial compliance and best practices. The role also offers opportunities to collaborate across departments and provide technical guidance to financial staff, making it ideal for someone who enjoys both detail-oriented work and meaningful organizational impact.

Additional Information

This is a short-term assignment with a projected end date of 06-30-2026 with renewal based on available funds and the needs of MCCCD.

Essential Functions

40% Accounts Payable Processing & Vendor Payments
  • Process all accounts payable requests, including vendor invoices, college reimbursements, and Foundation-related expenses.
  • Manage check printing, signing, mailing, and upload to Positive Pay.
  • Maintain accurate AP records and ensure compliance with district and Foundation policies.
  • Respond to AP inquiries through the Foundation AP email account.

15% Emergency Assistance & Direct Support Payments
  • Process emergency assistance awards via check and Egift Card.
  • Post payroll donations, create supporting journal entries, and maintain backup documentation.
  • Reconcile Egift Card activity and refund cycles.

20% Reconciliations, Reporting & General Ledger Support
  • Perform biweekly and monthly reconciliations, including general ledger entries and clearing checks.
  • Reconcile credit cards for leadership staff.
  • Review pending grant expenses and provide expense summaries by college.
  • Support preparation of quarterly fund reports for colleges and the Foundation.

15% Audit Preparation & Compliance Support
  • Prepare AP accrual detail reports and reconcile to the trial balance.
  • Provide detailed schedules for legal expenses, check copies for disbursements over $100k, and prior-year check registers.
  • Assist with audit requests related to accrual accounts, program expenses, and supporting documentation.

10% Meetings, Communication & Partner Coordination
  • Participate in team meetings, grants meetings, and scheduled district/Foundation coordination sessions.
  • Coordinate with partners and consultants to submit required documentation (e.g., APRs, monthly invoices).
  • Other Duties as Assigned.


Minimum Qualifications

Associate's Degree from a regionally accredited institution and four (4) years of financial support experience in an area related to assignment such as fiscal, finance, accounts receivable/payable, or payroll.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications
  1. Three (3) plus years of accounting or fiscal operations experience, including accounts payable and reconciliation work, including accounting principles, general ledger processes, accruals, and audit preparation.
  2. Two (2) plus years of financial software and Excel, including spreadsheets, reconciliations, and report generation experience.
  3. One (1) or more years of experience in a multi-department or higher education environment, preferably with nonprofit or Foundation accounting.


Special Working Conditions

Positions in this class typically require: stooping, crouching, reaching, standing, walking, pushing, pulling, lifting, keying, grasping, feeling, talking, hearing, seeing and repetitive motions.

Sedentary Work: Exerting up to 30 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Working Conditions: Work is routinely performed in an indoor, office environment.
