Job Summary:

This 3 Year Accelerated Pathway Program Manager is responsible for the overall educational, operational, and programmatic management of the 3 Year Accelerated Pathway (A3YP). A3YPis an innovative program that will allow accelerated completion of the MD program within the School of Medicine (SOM).

This role will independently analyze and coordinate policies and procedures; the incumbent will oversee the implementation of teaching, research, and graduate training associated with the program. This A3YPProgram Manager will also contribute to the business affairs, financial planning and oversight, and resources of the program in collaboration with the Office of Medical Education Business Services team.

In conjunction with the program director, this role will represent the program within the School of Medicine, providing essential communication and networking for the effective functioning of this program.

Key Responsibilities:

Student Affairs - 35%

  • Manage and coordinate the recruitment, acceptance, and orientation of new students into the program, including collaboration with the School of Medicine to process applications, organize faculty interviews, and support admissions committee activities.

  • Partner with SOM Health Opportunities and Professional Engagement (HOPE) to enhance diversity-focused recruitment and retention efforts.

  • Monitor student progress, retention, and grievance processes in collaboration with the program's training committees, the School of Medicine, and other graduate programs as appropriate.

  • Maintain and manage all student records using CUSIS (Milestones), Canvas, SOM (Oasis), and Graduate School (GAIA) databases; track academic progress, provide advising support, and assist with academic interventions or resolutions as needed.

  • Oversee the administrative management of all A3YP-specific courses in collaboration with course directors, curriculum managers, and Deans. Responsibilities include course setup in CUSIS, student registration, Canvas management, coordination of evaluations, and timely submission of grades.

  • Route documentation and monitor statuses for students on leave or returning to the program.

  • Maintain current knowledge of and ensure compliance with program, School of Medicine, and University policies related to admissions, degree progress, and graduation.

  • Update and publish the A3YPStudent Handbook annually to reflect current policies, procedures, and expectations.

Community Relations - 10%

  • Represent the School of Medicine and A3YPprogram with community sites and medical facilities.

  • Build and sustain relationships with hospitals and community partners to support student placements and faculty recruitment.

  • Collaborate with the Curriculum Program Director and Program Deans to develop executive presentations for community and stakeholder engagement.

  • Track and evaluate community site participation, needs, and contributions to support program success.

Budget and Procurement - 10%

  • Collaborate with the OME Business Services Manager to provide input into the annual budget and review budget-to-actual reports on a scheduled basis.

  • Coordinate with the business services team to negotiate vendor contracts, initiate purchase orders, and process payments to third-party vendors supporting A3YPoperations.

  • Oversee procurement card and travel card transactions for the A3YPprogram in accordance with University procurement policies.

Program Strategic Planning - 15%

  • Serve as a member of the program leadership team, contributing to strategic planning and goal setting.

  • Coordinate and document program committee meetings, including setting agendas, recording minutes, and tracking action items.

  • Benchmark comparable three-year programs nationwide and provide recommendations for continuous improvement and innovation.

  • Partner with the Curriculum Program Director and Program Dean to develop and report on program performance metrics.

  • Lead and manage LCME accreditation requirements, ensuring compliance and documentation readiness.

Office of Medical Education (OME) Leadership - 25%

  • Serve as an administrative leader within Undergraduate Medical Education (UME), fostering collaboration across units and supporting OME's mission and strategic priorities.

  • Develop, document, and maintain standard operating procedures (SOPs) and best practices related to the A3YPcurriculum and operations.

  • Oversee regular audits and updates to MD program website content; train staff on UME committee processes and best practices; and coordinate A3YPprogram operations with program Deans.

  • Ensure alignment with LCME accreditation standards and serve as a key resource for communication, operational efficiency, and process consistency across UME.

Other Duties - 5%

  • Perform other duties as assigned to support special initiatives and participate in professional development opportunities.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

  • Bachelor's in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, women and gender studies, psychology, computer science, information systems, business, health sciences, physical sciences, public administration, business administration, higher education, counseling, hospitality, human services, and student affairs.

  • Four (4) or more years of progressively responsible administrative experience in higher education, academic program management, or medical education.

  • Two (2) or more years of experience with student affairs functions such as recruitment, admissions, academic advising, or student records management.

  • Substitution: An advanced degree (Masters or Doctorate) may be substituted for experience on a year for year basis if the degree is in a field of study directly related to the work assignment.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Master's degree in business administration, education, or a related field highly preferred.

  • Five (5) years of progressively responsible experience in program or office administration, ideally within a medical or academic environment.

  • Demonstrated ability to analyze reports and use data to inform program decisions.

  • Proven experience in project management or developing and implementing new programs or initiatives.

Knowledge, Skills and Abilities:

  • Knowledge of and the ability to apply diverse operations management skills.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $63,554 - $80,840.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
