Description

Summary

Working under the supervision of Pro Bono Counsel, the Pro Bono Specialist will provide administrative support to the Pro Bono Department and Committee; run frequent, periodic reports on pro bono contributions as requested by internal and external stakeholders; assist in Pro Bono Department communications; and help maintain the Pro Bono Department's intranet page and documents.

Required Education & Experience



  • Bachelor's degree.
  • Fluency in Excel or experience with other data management systems, including the ability to use shortcuts and formula functions, build charts and graphs, and sort and analyze data.
  • Proficiency in Microsoft Word, Outlook, and PowerPoint; capable of operating various pieces of office equipment (photocopiers, personal computers, printers, etc.) as necessary.


Preferred Education & Experience



  • 3+ years project management experience, ideally at in a nonprofit and/or legal services environment.
  • Demonstrated commitment to public interest, social justice, access to justice, rule of law, community service, and/or experience working with vulnerable populations.
  • Experience with or comfort with learning and leveraging emerging AI-powered technologies to enhance productivity and workflows.


Essential Functions

Pro Bono Practice Support, Administrative & Operations Support (95%)

Reporting



  • Collect, develop and analyze data regarding pro bono performance, metrics and relationships through the use of programs such as 3E, SQL, viDesktop, Microsoft Excel, Microsoft PowerPoint, or other programs that may be used for pro bono data management.
  • Prepare monthly, quarterly, and annual reports on pro bono data requested by the Pro Bono Department and other internal and external stakeholders.
  • Assist in responding to timekeeper requests for pro bono time reports, in-kind donations, and case outcomes, subject to applicable rules of professional responsibility, and in responding to requests from other departments on pro bono-related matters.
  • Assist in responding to external requests for pro bono or other assistance from individuals and community organizations.
  • Prepare honor rolls, coordinate annual pro bono recognition program, assist with community service recognition programs and external award nominations.
  • Review pro bono time entries to ensure all creditable time is being captured under the appropriate client and matter codes.
  • Assist in tracking financial contributions to partner pro bono legal services organizations and processing check requests and expense reimbursements.
  • Assist Pro Bono and Accounting staff in maintenance and review of pro bono expenses.


Planning and Logistics



  • Assist in planning and preparation for annual and periodic pro bono programming, including pro bono summer associate and new fall associate programs, Pro Bono Week activities, CLE Programs and training, and other related programming.
  • Assist with planning and logistics, communication, staffing, and preparation for recurring and periodic pro bono clinics sponsored by the firm or the firm in collaboration with legal services organizations and billable clients and other recurring and periodic pro bono initiatives (e.g., biannual Election Protection efforts).
  • Assist in scheduling and coordinating meetings for the Pro Bono Committee and other external and internal groups.
  • Coordinate logistics and implementation of internal and external pro bono events, office visits, and meetings, including scheduling, payments, invitations, presentations and technology setup.


Communications



  • Assist in maintaining the Pro Bono Department's intranet page, including access to all links and recorded legal trainings.
  • Organize and maintain administrative and case-specific pro bono materials in the Stinson Pro Bono Department File Site folder.
  • Assist in drafting, editing, and/or proofreading pro bono program communications, including, but not limited to, monthly and periodic Pro Bono Department emails, monthly Pro Bono intranet banners and newsletter, response to queries, dissemination of opportunities, resources and training and overall firm wide pro bono communications and reports in collaboration with various departments.
  • Assist in maintaining relationships and liaising with external partners and staff at partner pro bono legal services organizations.
  • Assist in coordinating attendees for annual and periodic events with partner pro bono legal services organizations.


Pro Bono Casework



  • Assist the Pro Bono Department, timekeepers, and Legal Administrative Assistant teams that support pro bono with conflicts searches and the pro bono matter opening process and procedures as needed.
  • Assist timekeepers with the pro bono file closing process.
  • Assist departing timekeepers with the pro bono matter transition process.
  • Time permitting, assist in legal work for initiatives such as Election Protection and firm-sponsored pro bono clinics.
  • Time permitting, maintain a modest legal practice in substantive areas relevant to the Firm's pro bono practice, under supervision of Pro Bono Department attorneys or other supervising attorneys throughout the firm.


Other Responsibilities (5%)



  • Responsible for special projects and other duties, as assigned.
  • Exploration of coordinated efforts and areas of focus that tie Stinson's pro bono legal work, charitable giving and general community service activities together.

Infrequent travel to community legal sites may be required.

Work Environment & Physical Demands

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the responsibilities of the position, these work environment characteristics are representative of the environment the person in this position will encounter. While performing the duties of this job, the employee will work in a professional, fast-paced office environment that may require additional hours to complete work.
