Job Summary:

Our Ethics and Compliance team is seeking a detail-oriented and proactive State Licensing Senior Administrator to manage and oversee the process of applying for and maintaining state licenses for our company's operations across the United States. The ideal candidate will be responsible for ensuring compliance with state-specific requirements and regulations to enable the company to operate legally and efficiently in multiple jurisdictions.

Key Responsibilities:

* Research changes in state laws, regulations, and policies that affect state specific licensing requirements across the United States to ensure the company is compliant with relevant regulations.

* Maintain accurate, detailed, and up-to-date records of all state licenses and monitor expiration dates to ensure timely renewals. This includes maintaining a comprehensive database of all licensing activities, including applications, renewals, correspondence with agencies, and any regulatory actions.

* Prepare, review, submit, and manage applications for new state licenses, renewals, and amendments for company operations across various states.

* Ensure all required forms, documents, and fees are correctly completed and submitted on time via mail, email, or online submission.

* Coordinate and collaborate with internal and external teams (Ethics and Compliance, Tax, Legal, Government Affairs, etc.) to gather necessary information and documentation to ensure compliance with state-specific requirements.

* Coordinate with multiple Tax and Legal teams regarding requirements and compliance with licenses, accounts, and filings maintained outside of Ethics and Compliance.

* Report weekly updates on the status of pending applications, renewals, and changes to licenses across all states where the company operates.

* Build and maintain relationships with state regulators and licensing agencies to facilitate communication and resolve potential issues.

* Ensure timely and effective responses to inquiries from state regulators or other relevant authorities.

* Assist in preparing reports or audits regarding state licensing compliance.

* Assist in developing state licensing strategies, identifying states where regulatory challenges require additional support and opportunities for strategic decision making.

* Identify opportunities to automate or implement new tools and technologies to enhance the licensing process.

* Provide internal training to staff on state licensing processes and compliance requirements to ensure the team is up-to-date and follows best practices.

* Develop and distribute internal guidance and reference materials, including state-specific regulatory changes and requirements.

* Assist other departments (Sales, Marketing, HR, etc.) with state-specific compliance questions and ensure that all company activities including advertising, hiring, and product offerings align with state regulations.

* Maintain certification as a qualified notary.

* Assist in the company's growth and market expansion efforts by providing insights into states which may require specific licensing to operate.

* Advise management on state-specific licensing challenges, timelines and costs.

Qualifications:

* 3+ years of experience in state licensing, regulatory compliance, or a related administrative role.

* Strong knowledge of state licensing requirements and processes across multiple states.

* Excellent organizational skills with the ability to manage multiple applications and deadlines simultaneously.

* Detail-oriented with the ability to analyze and interpret state laws and regulations.

* Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) and licensing management software.

* Ability to work independently and as part of a team in a fast-paced environment.

* Previous experience working in industries that require state licensing (e.g., insurance, finance, healthcare, or other regulated sectors) is a plus.

Work Environment:

* Full-time position.
