Administrative Medical Assistant

The Medical Assistant (MA) Admin role will be responsible for the coordination of patient care activities. This position requires a versatile professional who can seamlessly transition between clinical and administrative responsibilities. Duties include but are not limited to the following: patient medical history information, navigating electronic health records system (EPIC), scheduling and following-up with appointments and assisting with medication fill and refill requests, checking for prior authorizations and scheduling tests, procedures, consultations, and other in basket types as assigned. The MA will communicate with pharmacies, insurance companies, patients and physicians in a respectful manner and will uphold Baptist's mission and core values that drive service excellence.

  • Perform routine patient assessments, including vital signs, height, weight, and chief complaints.
  • Assist healthcare providers during examinations and minor procedures.
  • Administer medications and vaccines as directed by healthcare providers.
  • Conduct basic laboratory tests, such as blood draws, urinalysis, and EKGs.
  • Prepare and maintain examination rooms, ensuring cleanliness and availability of necessary supplies.
  • Manage and update patient medical record.
  • Verify and update patient record to confirm that medical records are correct and up to date, ensuring accurate billing and reimbursement.
  • Answer phone calls, respond to inquiries, and relay messages to healthcare providers.

Strive to close care gaps for patients by reviewing reports for overdue preventative diagnostic needs (mammograms, colonoscopy, etc) and assisting to schedule visits.

  • Collect and document all necessary information related to prior authorization process.
  • Complete request forms with accuracy and timeliness.
  • Track and document the status of prior authorization requests in the electronic health record (EHR) system.
  • Monitor the progress of prior authorization request and follow up with insurance companies as needed.
  • Address any additional information or documentation requests from insurance providers promptly.
  • Advocate for expedited review, when necessary, especially for urgent medical cases.
  • Initiate and manage appeals processes for denied prior authorization request.
  • Collaborate with healthcare providers to strengthen appeal cases by providing additional supporting documentation.
  • Stay informed about changes in insurance policies, regulations, and industry best practices related to prior authorizations.
  • Communicate with patients to schedule medical tests, procedures, and consultations based on provider recommendations.
  • Provide clear and detailed information to patients regarding preparation instructions, any required pre-authorizations, and what to expect during the scheduled appointment.
  • Coordinate and schedule appointments for medical tests, procedures, and consultations using scheduling software or electronic health records (EHR). Ensure optimal utilization of available resources, such as equipment and clinical staff when scheduling appointments.
  • Document any changes, cancellations, or rescheduling of appointments promptly.

Address scheduling conflicts, cancellations, and other issues quickly; working collaboratively with all relevant stakeholders to find suitable solutions.

Required:

  • High School/GED
  • Minimum 1 yr experience as a Medical Assistant
  • MA clinical or Administrative experience
