Civil, Architecture, and Environmental Engineering

Job Description

The Civil, Architectural and Environmental Engineering Department is seeking quality candidates to fill the role of Office Support Assistant IV. This full-time role is an opportunity to make lasting and significant impact in the department through a variety of tasks, including:

Key Responsibilities:

  • Coordinating student activities and events with professional organizations, design teams, service organizations, and employer events
  • Assisting the department chair in coordination of department teaching schedule
  • Recruiting and training student ambassadors, supporting department organizations, tracking student activities and graduation requirements, and updating rosters for professional student chapters and honor society
  • Monitoring and reporting Faculty Load Count, student data as requested, and course changes
  • Providing support to the Academy of Civil Engineering and Alumni
  • Banquet planning, Organization, attendee list, facilities reservations, menu planning, coordinating registrations, assisting with travel questions
  • Coordinate communications with academy event attendees and inductees
  • Managing programs such as PeopleSoft, AccessIt, Textbook, LinkedIN, Joe'SS, etc.
  • Coordinate student activities and recruiting events
  • Coordinate scheduling for department chair
  • Manage travel authorizations, approvals, and reimbursements
  • Coordinate department visitor's agendas, hosts, and other logistics
  • Coordinate monthly faculty meetings and bi-annual retreats
  • Plan department events - Sr. Luncheons, Networking Night, Distinguished lecture series (6/year), career fair visitors, awards banquet, Sr. Seminar speakers
  • Create/Manage MinerByte display content
  • Assist with Chairs calendar and support in absence of other office staff
  • Serves as liaison for all general department inquires, other departments, alumni, and out of the organization requests
  • Coordinates recruiting information, materials, and activities
  • Provides information to prospective students regarding university resources to enhance academic success
  • Assists students with non-academic problem solving and provides general college and campus information
  • Run the day-to-day operation of the front desk reception area including greeting guests, answering the departmental phone, directing phone calls, monitoring departmental email inbox, scheduling student appointments, directing guests to appropriate staff members
  • General business support duties to include: Work orders, Maintaining office inventory, Marketing and Printing orders, Reservations
  • Place orders and maintain inventories for the following: general office supplies, computers, staff business cards, signs, refreshments, maintenance requests, and coordinating copier repair and maintenance.
  • Manage List serves & google groups for faculty, staff, academy, student leaders.
  • Maintain Weekly calendar for student organizations, visitors, campus events, and deadlines and disseminate for: students, faculty, staff, and academy.
  • Use S&T cards for purchasing; maintain purchasing records/receipts/reimbursements for self and chair, office personnel, faculty, staff, visitors, and others as directed.
  • Participate/manage departmental campus events to include opening week activities, career fair, on-campus interviews, dinners, hotel stays, and itinerary
  • Other Duties as Assigned
Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary

Anticipated Hiring Range

The anticipated hiring range for this position has been established as $15.00 to $20.32.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
