POSITION SPECIFICS

The Stuckeman School of Architecture and Landscape Architecture at Penn State invites applications for the position of Administrative Support Manager. This critical leadership role provides high-level administrative oversight and support to ensure the efficient operation of the School, which includes the departments of Architecture, Graphic Design, and Landscape Architecture.

Position Overview

Reporting directly to and supporting the School's Director, the Administrative Support Manager is responsible for managing daily operations, supervising administrative staff, coordinating events, and supporting strategic initiatives.

The Administrative Support Manager will utilize proactive problem-solving, along with exceptional organizational and collaboration skills to complete this position's responsibilities, which include but are not limited to:

  • Lead and supervise administrative staff and part-time employees

  • Perform complex and confidential administrative duties

  • Provide administrative support to the School's Director on matters such as complex projects, events, and programs.

  • Coordinate communications and logistics for the Stuckeman School Advisory Board and collaborate with the College's Office of Development and Alumni Relations.

  • Provide calendar support to the Director and School.

  • Manage building access and coordinate facilities and equipment needs in collaboration with the College's Facilities Office.

  • Compile and analyze data for a variety of reports, grants, contracts, programs, and internal assessments.

Qualifications

  • Demonstrated experience working with administrative leadership, preferably in an academic or similarly complex environment

  • Excellent proficiency with Microsoft Office 365, including Microsoft Teams

  • Excellent communication, organizational, and interpersonal skills

  • Outstanding attention to detail and a commitment to accuracy and confidentiality

  • Ability to manage multiple tasks on schedule to meet designated timelines

  • Ability to work collaboratively with stakeholders and navigate conflict resolution; inclusive and respectful when working with others

  • Possess analytical skills and problem-solving skills

Familiarity with Workday and SIMBA (Penn State's System for Integrated Management, Budgeting and Accounting) is preferred.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

Bachelor's Degree 8+ years of relevant experience, includes 3+ years of supervisory experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $51,000.00 - $74,000.00.
