Position Summary

The Advancement Associate supports Aeon's fundraising, marketing, and donor stewardship efforts through detailed administrative coordination, digital content support, and donor communications. This position plays a key role in ensuring the smooth operation of Aeon's Advancement Team - managing gift processing, maintaining records for grants, donors, and corporate partners, coordinating digital content updates, and assisting with events and outreach.

Reporting to the Director of Advancement and Resident Connections, the Advancement Associate collaborates closely with colleagues across Advancement and Marketing to help steward grant funders and donors, elevate Aeon's visibility, and ensure data accuracy and timely communications that strengthen relationships with supporters and partners.

Key responsibilities include but are not limited to:

CRM Management & Gift Processing (35%)



  • Process incoming gifts, pledges, matching gifts, and grant payments; generate and mail acknowledgment letters.
  • Draft new acknowledgment templates quarterly or by campaign, ensuring compliance with donor and grantor recognition requirements.
  • Track grant proposal and reporting deadlines, ensuring timely submission of required materials in coordination with fundraising, program, and finance staff.
  • Maintain grant records in the CRM and shared drives, including proposals, award letters, reporting schedules, and correspondence.
  • Support the preparation of interim and final grant reports by gathering data and financial documentation.
  • Monitor donor and grant activity to identify lapsed donors, missed reporting deadlines, failed credit card transactions, and matching gift opportunities.
  • Inform team members of noteworthy gifts, grant awards, and donor updates.
  • Send welcome packets to new donors and assist with stewardship efforts for individual, corporate, and foundation supporters.
  • Maintain accurate donor and grantor records, assisting with CRM updates to ensure data quality and consistency.
  • Support past-due pledge follow-up and help track fulfillment of grant commitments.
  • Manage corporate contact information and assist with sponsor communications.
  • Update CRM and Mailchimp contacts, including auto replies, segmentation updates, and tracking of grantor communications.


Digital Marketing & Communications Support (30%)



  • Track Aeon media mentions; report relevant PR to board and leadership.
  • Create and schedule segmented social media posts on Facebook and LinkedIn.
  • Monitor and respond to comments and messages and engage with partner or sponsor accounts.
  • Update Aeon's website with new stories, resident features, and staff highlights.
  • Maintain and refresh blog content with news, photos, and relevant updates.
  • Support email campaign personalization and list segmentation using pre-built content.
  • Take photos at Advancement and Resident events for use in digital and print materials.


Event and Project Coordination (25%)



  • Support planning and logistics for grantor site visits and donor events, including:

    • Prepare nametags, printed materials, and reminder emails/invites.
    • Assist with on-site setup and day-of coordination.


  • Collaborate with Advancement and Operations teams on design tasks and event collateral.


Team Collaboration & Administrative Support (10%)



  • Serve as the initial point of contact for Advancement team inquiries by phone, mail, and email.
  • Manage shared inboxes and ensure timely, professional responses.
  • Process incoming mail.
  • Purchase office supplies.



Skills & Qualifications



  • 1-3 years of experience in nonprofit development, marketing, or communications.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication abilities.
  • Familiarity with social media management and content scheduling.
  • Experience with CRM systems (e.g., Salesforce or similar) and email marketing tools such as Mailchimp preferred.
  • Proficiency with Microsoft Office, Canva, and basic design or photo editing preferred.
  • Commitment to Aeon's mission of providing quality, affordable homes and supporting thriving communities.
  • Demonstrated ability to engage in interpersonal communication that is culturally responsive, ensuring consideration for differing needs and expectations.
  • Must have a commitment to learning and participating in Aeon's diversity, equity, and inclusion efforts.
  • Physical Requirements:

    • Ability to lift up to 10lbs.
    • Ability to reach above and below the shoulder height.
    • Ability to sit and stand for extended periods.
    • Ability to conduct property visits: Includes walking through hallways, stairwells, leasing offices, common areas, and vacant or occupied apartment homes. This may involve navigating multiple floors and uneven surfaces.





Compensation, Hours & Location

This position has a range of pay between $22-$30 per hour depending on qualifications and skillset. Aeon offers a comprehensive benefits package that includes medical, dental, vision, life insurance, short-term and long-term disability, retirement plan, generous paid time off and an employee assistance program.

This full-time position offers mostly Monday-Friday, daytime hours. Typical work schedules are 8:30am-5pm, but there is some flexibility in these hours to accommodate the needs of the position and the staff person. Variations to this schedule may occur given the needs of the position.

This is a hybrid position and will office out of Aeon's Central Office in the North Loop of Minneapolis with regular on-site visits to Aeon's properties throughout the Twin Cities. Most weeks this position will be in-person on Tuesdays and Wednesdays. This position may office remotely from time to time. When working remotely, the candidate is required to travel to and from Aeon properties for urgent or unplanned matters and for regularly planned on-site visits, trainings, and meetings. As such, candidates must either currently reside in and around the Twin Cities metro area, or plan to relocate to accommodate regular planned and unplanned on-site needs.
