Executive Assistant for AI Transformation

In this role, the Executive Assistant will be responsible for comprehensive support to the CTO. The work environment is fast-paced and challenging, requiring the ability to handle a wide variety of activities and confidential matters with discretion.

  • Provide critical support to the CTO
  • Manage CTO's calendar and travel plans
  • Serve as a gatekeeper for meeting requests
  • Coordinate senior management team meetings and external events
  • Handle administrative and logistical tasks for CTO
  • Ensure smooth communication between CTO's office and other departments
  • Coordinate IT support and security for CTO
  • Demonstrate excellent organizational and communication skills

  • Leadership skill development in relation to taking initiative, managing different kind of tasks and collaborating effectively.
  • Executive Communication skills in relation to senior level engagements and interpersonal interactions.
  • Excellent Networking opportunities with senior leaders across the business.
  • Manage calendars, prioritize meetings, and coordinate schedules across European time zones.
  • Organize meetings, prepare agendas, and ensure follow-ups are handled.
  • Arrange complex travel itineraries including flight booking, hotels and working with 3rd party vendors for support for country documents requirement.
  • Managing expense claims in the internal system (Concur)
  • Handle sensitive communications with discretion.
  • Supporting leadership with reports, presentations, and organizational documents.
  • Coordinate logistics for internal and external events.
  • Improve processes (like meeting agenda and follow up actions, travel and holidays plan) and enhance efficiency where possible.
  • Work with internal communication and social media, preparing draft communication and helping to manage social media account (mainly LinkedIn)
  • Collaborate with the executive assistant community fostering collaboration mindset.
  • Experience supporting C-Level Executives in global organizations
  • Strong communication skills with the ability to communicate in a clear, concise and professional manner
  • Excellent organizational and problem-solving skills
  • Ability to prioritize and handle multiple tasks
  • Organized and detail-oriented approach, ensuring tasks are completed efficiently
  • Ability to handle confidential information with discretion
  • Proactive working style with the ability to anticipate needs and taking the initiative
  • Team player, collaborating effectively with other team members and stakeholders
  • Candidate must be located in the area as position will be hybrid
