POSITION SUMMARY:

The Pharmacy Operations Specialist is a key role responsible for supporting the successful establishment and optimization of our clients' specialty pharmacy services. This role ensures new pharmacy locations are built, credentialed, and launched with compliant, efficient, and best-in-class operations. The Specialist drives continuous improvement by managing complex cross-functional projects and implementing industry best practices to support accreditation standards (ACHC/URAC) and regulatory compliance.

ESSENTIAL RESPONSIBILITIES/DUTIES:

Project Management & Build-Outs

  • Drive the successful planning and execution of pharmacy build-outs and new client implementations, managing all phases from initial concept through operational launch
  • Develop, monitor, and maintain detailed project management tools, including timelines, budgets, and risk assessments, to ensure timely delivery of all deliverables
  • Coordinate and lead cross-functional stakeholder meetings (including Operations, IT, Finance, and Legal) to align on project milestones and requirements
  • Collaborate with design and construction teams to ensure facility layouts meet optimized workflow, compliance, and patient safety standards

Technology & Vendor Integration

  • Manage the implementation, setup, and integration of core pharmacy technology systems (e.g., Pharmacy Management Systems, EHR interfaces)
  • Coordinate technical configurations, user access, and hardware setup in collaboration with client and vendor IT teams
  • Facilitate the initial setup of critical vendor accounts, including drug wholesalers, shipping carriers (UPS/FedEx), and supply chain logistics

Compliance, Credentialing, and Revenue Cycle

  • Oversee the management and submission of essential pharmacy credentialing and licensing applications (e.g., NPI, NCPDP, State Board of Pharmacy, DEA)
  • Act as a subject matter expert on state-specific pharmacy rules and regulations, providing guidance on required build and operational elements
  • Support the setup of financial workflows, including payment processor contracting, merchant accounts, cash handling, and reconciliation processes

Operational Excellence & Ongoing Support

  • Design and document robust operational workflows, Standard Operating Procedures (SOPs), and staff training materials to ensure adherence to compliance requirements
  • Establish Key Performance Indicators (KPIs) and operational metrics (e.g., script volume, inventory accuracy) to monitor performance and drive continuous process improvement

EDUCATION:

  • A bachelor's degree in business administration, healthcare administration or a related field is required. In the absence of a diploma, 10+ years of relevant experience may be considered

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:

None required, however previous experience as a Pharmacy Technician (or Certified Pharmacy Technician) is a bonus.

EXPERIENCE:

  • A minimum of 5 years of experience working in a specialty pharmacy organization or an accreditation body (such as URAC, ACHC, Joint Commission) is required.

KNOWLEDGE AND SKILLS:

  • Possess extensive knowledge of specialty pharmacy operations and regulatory requirements.
  • Demonstrate a track record of successfully launching and establishing specialty pharmacies.
  • Exhibit strong communication and interpersonal skills for effective interaction at all organizational levels.
  • Showcase robust project management and organizational skills.
  • Emphasize attention to detail, with a focus on accuracy and compliance.
  • Display adaptability and effective change management abilities.
  • Excel in analytical and problem-solving skills.
  • Proficiently use Microsoft Word, Excel, PowerPoint, and Outlook

Special Working Conditions (On-call, travel, shift, coverage):

  • Travel as required up to 20% domestically to support new, existing, or potential client locations to perform onsite pharmacy assessments and formulate action plans for optimization.
