Position Summary:
We have an exciting opportunity to join our team as a Residency/Fellowship Program Coordinator.
The Neurology Fellowship Program Coordinator is responsible for the day-to-day administration of 12 Fellowship Programs. Working in collaboration with the Program Directors, the coordinator ensures compliance with accreditation standards, oversees the administrative functions of the fellowship programs, and supports trainees throughout all phases of their education.
The coordinator serves as a key liaison among faculty, residents, institutional leadership, and external regulatory agencies such as the ACGME.
Job Responsibilities:
- Provides administrative support to the Program Directors.
- Manages the New Innovations software with residents, fellows, and faculty data for the program, including block schedules, evaluations, Scope of Practice (SOP), annual payroll assignment, on-boarding, advancement and termination of trainees.
- Coordinates interview season activities including updating marketing materials, correspondence with applicants and faculty interviewers, organizing rank order list and meeting, and Match Day logistics.
- Monitors compliance with duty hours, evaluations, certifications, procedures, flu shots, and institutional requirements.
- Participates in and submits information for the Clinical Competency Committees (CCC), Annual Program Review (APR), Annual Program Evaluation (APE), and ACGME Annual ADS updates.
- Creates trainee training records and submits program requirement data to the ACGME or UCNS.
- Facilitates reimbursements. Prepares and processes Purchase Requisitions, check requests, IOIs and related invoices.
- Assists Program Director with organizing Fellowship Didactic sessions
- Tracks and monitors fellowship budget expenses.
- Collaborates with the GME office to develop Leave of Absence letters for fellows who are on Family and Medical Leave (FMLA).
- Liaise with Program Directors and the GME office in preparation for Site-Visits (ACGME, IPRO, Joint Commission, etc.).
- Onboards visiting residents participating in electives with the Neurology Fellowship Programs.
- Coordinates annual in-service training and self-assessment examinations.
- Maintains program handbook and utilizes Ellucid to obtain the most up-to-date institutional policies.
- Assists with coordinating the Neurology Department trainee graduation event.
- Maintains trainee files and ensures that all required documentation related to program requirements is received.
- Provides ongoing communication with trainees to address issues and concerns.

Minimum Qualifications:
To qualify you must have a BA Degree plus 2-3 years of responsible office administration experience, or equivalent combination of education and experience; excellent communication, interpersonal, computer and organizational skills.
Preferred Qualifications:
Masters degree in related field. Experience in Medical education.
Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $64,350.00 - $75,790.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
