Key Management Coordinator - Key Accountability & Tracking in 24/7 Data Center CE Operations

The Physical Key Management Coordinator serves as the single point of responsibility for comprehensive key accountability and precise tracking in a 24/7 data center CE (Critical Environment) operations environment. Vigilant oversight of key control, from checkout to return, is paramount. This role implements robust accountability protocols and detailed manual tracking procedures to ensure secure, real-time management of all physical keys issued to personnel across all shifts. The coordinator also reinforces safety by integrating Lock Out Tag Out audits and verifications with key tracking processes.

Key Responsibilities Key Accountability & Tracking Methods
  • Maintain a secure, centralized key inventory using manual logs and records, assigning unique identifiers for each key to trace movement and responsibility throughout the facility.
  • Record every key transaction, including the identity, time, and location of each key issued and returned, using detailed written logs and tracking forms.
  • Conduct regular, scheduled audits to compare manual records against physical inventory, promptly investigating and resolving any discrepancies.
  • Implement immediate notifications and alerts for overdue or unreturned keys, escalating unresolved cases and initiating security protocols as necessary.
  • Integrate Lock Out Tag Out (LOTO) verification into tracking, ensuring all LOTO activities are fully documented and keys associated with these processes are strictly controlled and accounted for.
  • Generate detailed tracking and accountability reports for management, highlighting trends, compliance status, and any incidents relating to key usage or security.
Security & Compliance
  • Enforce facility security policies by verifying authorization levels before each key is issued, in accordance with approved manual tracking procedures.
  • Maintain up-to-date records of all key assignments, returns, and transfers to support audit readiness and regulatory requirements.
  • Investigate and document any incidents involving missing, misused, or misplaced keys, including those identified through manual record review.
  • Conduct periodic reviews of tracking procedures to ensure continuous improvement and compliance with critical environment standards.
Administrative Functions
  • Process all key requests and approvals through established manual workflows, ensuring complete traceability and accountability.
  • Coordinate with HR and facility management to update access privileges and key assignments during onboarding, offboarding, and role changes.
  • Prepare monthly, quarterly, and annual tracking and accountability reports, clearly summarizing inventory status and procedural compliance.
  • Interface with building security and management teams to refine and enhance key tracking processes and resolve issues promptly.
Customer Service
  • Respond quickly to key access requests, using manual tracking data to verify eligibility and prevent unauthorized issuance.
  • Educate staff on key accountability policies, proper handling, and the importance of returning keys for accurate manual tracking.
  • Resolve disputes regarding key use or status by referencing detailed manual tracking and audit records.
  • Train personnel on Lock Out Tag Out protocols, emphasizing integration with key tracking measures to ensure safety and compliance.
Required Qualifications
  • High school diploma or equivalent.
  • 2+ years' experience in roles requiring asset tracking, accountability, or security management.
  • Expertise with manual key management processes, logbooks, and documentation practices.
  • Exceptional organizational skills and attention to detail for meticulous record keeping.
  • Excellent communication skills to relay tracking policies and resolve issues effectively.
  • Ability to safeguard sensitive information and uphold security standards.
Preferred Qualifications
  • Security Management, or related discipline.
  • Hands-on experience with manual key management systems and tracking logs.
  • Knowledge of security compliance and audit requirements in data center environments.
  • Familiarity with Lock Out Tag Out tracking and verification procedures.
Physical Requirements
  • Ability to lift up to 25 pounds.
  • Standing and walking for extended periods in the facility.
  • Manual dexterity for handling keys and tracking devices.
  • Visual acuity for reviewing records and identifying keys.
