Job Overview The Building Services Coordinator/Workplace Experience Ambassador is responsible for delivering exceptional client experiences through proactive engagement, communication, and is the SME for maintaining a high-touch service within an executive profile office environment. This role involves enhancing engagement and partnership between JLL, service partners, and clients, ensuring superior service delivery with a strong sense of ownership over the building space.
Key Responsibilities
Client and Guest Interaction and Support
- Primary Contact:Serve as the initial point of contact for all client employee and guest inquiries, issues, ticket management, troubleshooting, and feedback related to workplace services.
- Client Engagements:Work closely with the client and account teams to schedule meetings and customer engagements.
- Fostering Relationships: Develop and maintain strong relationships with business unit admins and sustaining those relationships through consistent, proactive communication and collaboration.
- Follow-Ups:Conduct routine follow-ups with clients and guests to ensure their concerns or needs have been addressed.
- Requests Handling:Act as the primary contact for client requests, ensuring work is properly handed off to internal teams and the client is updated on the completion of work requests.
- Access Management:Manage area access, ensuring employees and guests follow established processes and maximizing turnaround time for requests.
Operations and Quality Assurance
- Daily Operations:This role will support daily operations by efficiently managing building services and maintaining seamless, high-quality experience for clients and occupants.
- Inspections:Conduct routine walkthroughs and assessments to ensure the space is in pristine condition, addressing any cleanliness and safety issues or concerns.
- Work Orders:Receive information on facility maintenance from the executive team and create work orders as needed.
- SLA Compliance:Execute services consistent with JLL and client-established SLAs, standard processes, and professional brand image.
- Service Improvement:Continuously strive to improve experience service performance through innovative suggestions.
Event and Visitor Coordination
- Event Support:Support events and visitors with planning and execution as requested.
- Guest Management:Manage special guest and dignitary visits at the reception desk.
- Concierge Services:Provide exceptional concierge services, including catering coordination, maintaining supply stock levels, and local recommendations for hotels, restaurants, and car services.
- Room Management:Ensure all rooms are professionally maintained, put in work orders as needed, and guarantee room signs are accurate every morning.
Administrative and Soft Services
- Administrative Excellence:Provide administrative support, and support leadership to improve overall service levels.
- Operational Support:Ensure services are executed in a manner consistent with SLAs, build meaningful relationships with client employees and guests, and achieve JLL-established performance goals.
- Additional Duties:Perform additional job duties as requested, ensuring the efficient and effective execution of high-profile initiatives.
Qualifications and Skills
Education and Experience
- Education:High School diploma or equivalent; Professional Certificate or associate degree highly desired; bachelor's degree in business administration or equivalent is an asset.
- Experience:Two or more years of experience in a corporate office environment, with a proven track record of exceptional customer service. Executive suite experience highly desired.
Skills and Abilities
- Customer Service:Exceptional client service skills with a focus on delivering outstanding experiences to corporate level executives.
- Organizational Skills:Strong organizational and time management skills, with the ability to prioritize and manage multiple priorities effectively.
- Communication:Excellent verbal and written communication skills, with the ability to build relationships and collaborate with diverse stakeholders. Confidentiality a must.
- Problem-Solving:Proactive problem-solving skills and ability to adapt to changing circumstances.
- Technical Skills:Proficient in Microsoft Office Suite (Teams, Excel, PowerPoint, Word, OneNote, Outlook), Salesforce.com, and CMMS/Corrigo Systems.
Essential Functions
- Client and Visitor Engagement:Greet clients and guests, ensuring they feel welcomed and supported.
- Security Compliance:Follow Client security policies and ensure corporate policies and procedures are followed.
- Risk Management:Identify potential risks and escalate appropriately to prevent privacy breaches, security incidents, or disruptions.
- Support Services:Resolve problems related to building services, including janitorial, parking, badging, and conference rooms.
