Basic Function

Will support the Customer Service Manager in overseeing the daily operations of the customer service department, ensuring high levels of customer satisfaction and an efficient delivery service. Will also assist sales leadership in onboarding new sales representatives and any other sales administrative activities (see duties and responsibilities below).

Organizational Relationships

Reports directly to the Manager of Customer Service. Maintains close contact with Account Executives, Order Entry, Sales Managers, Design Service, and Director of Strategic Projects.

Specific Duties and Responsibilities


  • Assists in order processing as needed.


  • Assists in the recruitment and onboarding of new customer service representatives/account executives.
  • Management of potential AX/DI bottlenecks.


  • Provides process improvement initiative suggestions for order workflow.


  • Assists in managing the customer service team, including training, and mentoring.
  • Handle escalated customer inquiries and complaints, providing effective resolutions.


  • Reviews order backlog reports and takes action as needed.


  • Assists in reviewing requests from sales representatives. Initiates the appropriate actions.


  • Works closely with order entry to ensure timely and accurate acknowledgement, scheduling, and changes of orders.


  • Direct marketing list/Hubspot clean up.


  • Monitors workload of customer service and order processors.


  • Support with managing forecast and clean up.


  • Assists with the tracking of unidentified COM.


  • Liaison between sales management and environmental staff to address environmental questions and requests. Keeps up to date on environmental certifications and requirements.


  • Assist sales leadership in organizing information for bids.


  • Assist Director of Strategic Projects with state contracts.


  • Works closely with office and factory personnel to assist sales representatives and customers with administrative and product related questions.


  • Collaborate with other departments to ensure seamless customer experience.
  • Coordinate onboarding of new sales representatives. Includes setting up IT access to all applicable sites/applications and planning operation training including quoting, how to order samples/request customs, and how to file quality requests.


  • Performs any other duties as assigned by Manager of Customer Service.



Authority

The Assistant Customer Service Manager/Sales Administrator is authorized to take any reasonable action necessary to carry out the responsibilities assigned and to maintain effective, timely and professional office operation. These actions must be in accordance with the Bernhardt Policy Manual and other established policies, practices and subject to general or specific authority limitations as established by the Manger of Customer Service.
