Position Summary
The Office Support Assistant for the Information Technology department reports directly to the Director of Business Services and Finance. This position oversees diverse administrative activities, serves as a central liaison with other departments, and supports the daily operations of the CIO office and the teams within the IT organizational structure. This position also provides professional, high-level support to the CIO as necessary.
Key Responsibilities:
Administrative Support
  • Manage incoming calls to the CIO office and route appropriately
  • Compose and prepare correspondence, reply to emails, and respond to inquiries on behalf of the CIO and IT leadership
  • Prioritize, schedule, and manage calendars and meeting schedules for CIO and IT leadership
  • Schedule interviews for hiring committees
  • Coordinate and arrange travel and accommodations for CIO, IT staff, and job candidates
  • Purchase and maintain office supplies
  • Process key requests, building access, and work orders
  • Plan and facilitate IT departmental events
  • Research, develop, and assist with preparing reports, documents, and presentations
  • Perform other administrative duties as assigned
Human Resources
  • Facilitate timesheet submissions and approvals
  • Process HR and administrative paperwork for staff and student employees (off-cycle payments, corrections, job postings, EEO requests, offers, ePAFs)
Finance
  • Manage and reconcile purchasing card
  • Submit purchase requisitions as requested by Director of Business Services and Finance
  • Assist with JE/CE/ISEs and other fiscal and policy compliance-related duties
Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • Bachelor's or equivalent combination of education and experience
  • Minimum of 2 years of relevant experience in administrative or office support roles
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to manage multiple priorities
  • Ability to interact successfully with faculty, staff, administrators, students, and external constituents
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Ability to exercise discretion, judgment, initiative, and maintain confidentiality
Anticipated Hiring Range

The anticipated hiring range for this position has been established as $17.05-$29.69 hourly.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
