Job Description Summary: We are seeking an experienced coordinator to oversee conference room reservations and building events. This role will review all event requests and room reservations for large meetings. Responsibilities will include audiovisual support and coordination of security, catering, parking, and all other building services required. Job Description
  • Deliver exceptional customer service by assisting end-users with conference room setups, troubleshooting, and best practices.
  • Coordinate and manage room scheduling to optimize availability and minimize conflicts.
  • Ensure a seamless meeting experience by proactively testing and maintaining conference room technology before scheduled events.
  • Support and maintain collaboration solutions, including video conferencing platforms, AV room setups, and enterprise communication tools.
  • Provide 1st and 2nd level support for Microsoft Teams Rooms and Cisco Room Bars powering each conference room.
  • Utilize basic networking skills to diagnose and resolve connectivity issues affecting conference room functionality.
  • Work with IT teams to design and optimize AV room solutions, ensuring high-quality audio and video experience.
  • Maintain system security and compliance with HIPAA and PCI regulations.
  • Develop and maintain technical documentation for conference room configurations, troubleshooting procedures, and best practices.
  • Provide technical support managing vulnerabilities and system checks as needed.
  • Identify and implement process improvements to enhance user experience and system reliability.
  • Provide training and guidance to internal teams on conference room technology and best practices.

Minimum Qualifications

  • Bachelor's degree in computer science, Information Systems, Business Administration, or an equivalent combination of education and experience
  • Excellent people skills, service-first attitude, supporting all levels of the organization, diplomacy, and negotiation with customers and senior executives.
  • Solid working knowledge of Microsoft platforms & Windows client technologies
  • Strong analytical and critical thinking skills with the ability to work independently.
  • Strong troubleshooting skills for software, hardware, and network-related issues.
  • General understanding of mobile phones, tablets, laptops, and other computing devices, how they function and can be incorporated into shared conference spaces.
  • Basic understanding of networking (Wired/Wireless/NFC/Bluetooth)
  • Experience with basic networking concepts including Wi-Fi and troubleshooting process thereof.
  • May require occasional after-hours or weekend support for high-priority events.

Preferred Qualifications

  • 5+ years of experience supporting IT systems infrastructure, collaboration solutions, and AV room design.
  • 3+ years of first-hand experience with Microsoft Teams, Surface Hubs and Cisco Room Bars
  • Experience utilizing ticketing systems (i.e.. Service Now) to review and resolve trouble tickets and requests.
  • Experience in AV Scheduler UI Trends, Touch panel functionality.
  • Experience protecting and maintaining systems under HIPAA and PCI regulations.
  • Advanced understanding of Microsoft operating systems and Apple/Google Mobile OS, advanced troubleshooting techniques & recovery options.
  • Familiarity with HIPAA and PCI compliance for maintaining secure systems and shared collaboration environments.
  • Certifications in Microsoft Teams Rooms, Cisco Collaboration, or AV technology.
