Job Description

The College of Engineering and Computing (CEC), in partnership with the Department of Mechanical and Aerospace Engineering (MAE) are seeking a detailed-oriented and organized Office Support Assistant to provide administrative support for a wide range of programs and events. This position is split 50% with the CEC and 50%with MAE.

Key Responsibilities:

For the College of Engineering and Computing:

  • FE1100 (Freshman Engineering): Create events in MinerLink, track attendance via QR codes, and scheduling volunteer facilitators for breakout sessions
  • Leadership and Innovation for Futures in Engineering (LIFE) Program: Coordinate guest lecturer accommodations, reserve event space, manage event postings in MinerLink, order catering, and provide on-site support during events. Events may be held in the evening
  • General CEC Support: Assist academic departments as needed with purchasing, student hiring (graduate and undergraduate), expense reports, and additional duties as assigned

For the Department of Mechanical and Aerospace Engineering:

  • Alumni Relations & Events: Serve on the Special Events Committee for the Academy of Mechanical and Aerospace Engineers; attending monthly meetings, record/distribute minutes, and coordinate the annual induction dinner
  • Student hiring: Assist with student hiring. Monitor and approve timesheets, oversee student ambassadors, and assists with fellowship processing (GAANN, Kummer and Mathew/Kaiser). Provide support during peak hiring periods and semester close-outs
  • Recruitment Activities: Coordinate student ambassadors for department tours, Discover Days, and Open Houses. Track admissions data and ensure recruitment campaign letters remain current
Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

  • Experience with Peoplesoft
  • Proficiency with Microsoft Office
  • Prior administrative experience in higher education
Anticipated Hiring Range

The anticipated hiring range for this position has been established as $15.00 to $17.00 hourly.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
