Job Summary:
As the HR Specialist, you will play a crucial role in the Human Resources team by providing comprehensive administrative support across various HR functions. The duties include, but are not limited to, providing general administrative support, assisting with leave and disability management, ensuring compliance, maintaining personnel files, and supporting other related administrative tasks. The ideal candidate shows exceptional attention to detail and strong communication skills.
Responsibilities:
HR Administrative Support
* Respond to team member HR Inquiries: monitor and address HR-related questions submitted through the team member portal and HR email, ensuring timely and accurate responses to support their needs.
* Answer and respond to incoming external calls to the HR 800 line and monitor voicemail messages.
* Maintain HR personnel files in accordance with the company's document retention policy and respond to record requests and subpoenas.
* Process unemployment claims timely.
* Respond to employment and wage verifications.
* Responsible for the termination process for team members separating from the company.
* Support Employee Relations Partners with disciplinary matters.
* Assist with ad hoc projects and initiatives as required.
Leave and Disability Administration Support:
* Responding to team members' general leave and accommodation inquiries.
* Assist with processing payroll for team members on leave.
* Provide backup support for all leave administration activities.
Compliance:
* Ensure team members complete all necessary HR training.
* Responsible for ensuring members sign all necessary employment documents.
* Support overall compliance responsibilities.

* Perform other duties as assigned.

Required Qualifications:
* Bachelor's degree or equivalent experience in HR or administration.
Preferred Qualifications:
* Three years of Human Resources or administrative experience.
* Knowledge of federal and state employment laws, including FMLA, ADA, FLSA, and EEO regulations, to ensure compliance and support employee relations practices.
Work Environment:
* The noise level in the work environment is moderate.
* May be required to work outside of normal business hours, such as holidays, evenings and weekends as business demands.
* Occasional travel required, may include overnight stays.
Physical Demands:
* May occasionally be required to reach with hands and arms, stoop, kneel, or crouch.
* Heavy keyboard/mouse usage required with repetitive movements.
* May be required to remain at your desk or workstation for long periods of time.
Mental Demands:
* Ability to work in a fast-paced environment.
* Occasional travel may be required.
* Strong organizational skills and attention to detail, including setting priorities.
* Possess strong conflict management and critical thinking skills.
* Ability to take initiative and work independently and with a cross-functional and/or geographically dispersed team.
