Interstates is seeking a Licensing and Permitting Coordinator to join our team. This role is responsible for managing all aspects of licensing, permitting, inspections, and compliance related to modular construction. The coordinator ensures that all state and local requirements are met, costs are accurately tracked, and approvals are secured in a timely manner. You'll work closely with regulatory bodies, state and local authorities, as well as internal sales, project management, engineering, and production teams to support projects from proposal through delivery.

Key Responsibilities:



  • Coordinate Sales Licensing and Permitting: Research requirements, work with licensing account managers and regulatory bodies, and provide accurate guidance during the sales process.
  • Prepare Cost Estimates: Compile and document licensing/permitting costs and update proposal spreadsheets.
  • Initiate Licensing Applications: Complete and submit licensing or registration documents for projects requiring state authorization.
  • Manage Delivery Licensing and Registration: Finalize paperwork, submit plan sets for approval, and liaise with local authorities.
  • Oversee Cost Coding: Ensure estimators include correct license, permit, and inspection cost codes in project budgets.
  • Coordinate Inspections: Identify requirements, schedule with project managers, and facilitate communication with regulatory authorities and production teams.
  • Support Compliance and Plan Reviews: Partner with engineering, project management, and account managers to resolve deviations and maintain accurate records.
  • Maintain Licenses and Renewals: Track licensing status, complete renewals, and coordinate with state agencies on requirements or exceptions.
  • Order and Report Labels: Manage label orders, ensure compliance with reporting requirements, and track usage across projects.
  • Track Warranties: File warranty documentation and maintain an updated tracking spreadsheet.


Essential Skills & Experience:



  • Associate or bachelor's degree in Business Administration or related field (or equivalent combination of education and experience).
  • Experience in licensing, permitting, compliance, or project coordination preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with document management systems.
  • Strong organizational and multitasking skills with the ability to meet deadlines.


Work Environment & Physical Requirements:



  • Primarily office-based work in a modern setting with collaborative tools and technology.
  • Extended periods of screen time and computer use.
  • Occasional remote work may be available, depending on assignments.
  • Visits to job sites may be required, involving exposure to outdoor weather conditions, noise, uneven surfaces, and workplace hazards.
  • Strict adherence to safety protocols required; PPE provided by Interstates.


Travel - Limited travel is expected, up to 10%.
