The Legal Operations Specialist will support the Legal Department at CONMED. Under the supervision of counsel, this role provides primary support for litigation and discovery related activities across multiple domains, including insurance, contracts, employment, and general litigation. The position also acts as a liaison between internal stakeholders and external counsel, ensuring smooth coordination and timely execution of legal processes. In addition, the successful candidate will provide administrative support to the Legal Department including the use of Legal Tracker and matter management tools, as set forth in more detail below. This is a remote opportunity. Key Responsibilities Litigation & Case Management- Support litigation matters including budgeting, coordinating overseeing and responding to discovery and document production requests for complex litigation matters, reviewing court filings, and tracking and coordinating settlement and resolution. - Draft and distribute legal notices, correspondence, and memoranda under counsel supervision. - Manage legal holds and legal hold lifts. - Maintain project trackers to monitor litigation progress and deadlines. - Coordinate with internal stakeholders, brokers, insurers, and outside counsel. Legal Tracker Administration- Manages the Legal Department's use of Legal Tracker, including matter creation, law firm onboarding, invoice processing, and reporting. - Coordinates with internal counsel and Finance to ensure accurate matter setup and account coding. - Oversees vendor billing, including invoice submission, reassignment, and approver management. - Generates reports to support budgeting, legal spend analysis, and leadership decision-making. - Responds to billing inquiries from vendors, law firms, and internal stakeholders. Administrative & Cross-Functional Support- Monitor, screen, and distribute incoming communications and legal mail. - Handle service of process documents including subpoenas, garnishments, and other legal notices. - Experience working with EDGAR system and including SEC-related filings (e.g., 10-K, 10-Q, 8-K, Forms 3, 4, 5) preferred - Support matters of corporate governance and legal entity management. - Assist with insurance documentation. - Provide general legal and administrative support to the Legal Department. - Lead or support special projects as assigned. Minimum Qualifications Education and Experience- Bachelor's degree or equivalent experience preferred. - 1-3 years of Paralegal, legal operations, administrative, or executive assistant experience in a medium or large organization. - Experience supporting executive leadership and cross-functional teams. Additional Attributes- Self-starter with a proactive, action-oriented mindset. - Extremely organized, detail-oriented, and able to manage multiple priorities under pressure. - Excellent interpersonal and communication skills, both written and verbal. - Strong problem-solving abilities and strategic thinking. - Ability to work independently and collaboratively across departments. - High level of discretion and professionalism in handling confidential information. - Ability to manage contract and litigation workflows effectively. - Comfortable with change and capable of driving process improvements - Proficiency in Microsoft Word, Excel, Outlook, and Windows-based software. - Experience with legal billing and matter management systems (e.g., Legal Tracker). The actual compensation may vary based on geographic location, work experience, education and skill level. The salary range is CONMED's good faith belief at the time of this posting.
