Responsibilities

This role is responsible for overseeing the front office and medical records functions within the clinic to ensure efficient and smooth daily operations. Key responsibilities include supervising the patient check-in and check-out process, verifying insurance and demographic information, managing appointment scheduling, managing incoming calls, and maintaining an effective patient flow.

The position also involves greeting and registering patients upon arrival, directing charts and documentation to the appropriate clinical staff, and serving as a liaison between patients and the medical team to support a positive patient experience.

Essential Functions:

  • Responsible for developing, implementing, and maintaining office systems for efficiency and productivity (i.e., scheduling training and in-services).
  • Develop departmental goals and objectives in consultation with leadership.
  • Review and monitor work schedules, hours and assignments
  • Resolve internal coordination problems, i.e., staff utilization in all areas.
  • Resolve problems in administrative areas and ensures compliance with regulations and standards.
  • Ensure patient care needs are met. Resolve patient care crisis problems.
  • Schedule add on appointments for physician office visits/diagnostic testing.
  • Maintain and regulate HIPAA compliance within the department.
  • Adhere to HIPAA, OSHA, Corporate Compliance guidelines.

Qualifications

Education: High school diploma or equivalent required. Bachelor's degree preferred.

Experience: Three (3) to five (5) years of work experience in the medical front office setting; Two (2) plus years of supervisory experience preferred; Multi-phone system; Knowledge of medical setting; Computer experience - Scheduling experience preferred.

Working Knowledge: Medical terminology and medical insurance knowledge preferred. Knowledge of Cerner scheduling system and the PCIS Gold Practice Management System.
