Job Description

EBAD is seeking an experienced and highly capable Executive Assistant to play a central role in helping our senior leadership team operate at its best.

This is far more than a traditional administrative position. As a trusted partner to the Vice President of Operations and Vice President of General Managers, you will help leaders stay focused on the priorities that matter most. You will bring structure to complexity, anticipate what is needed next, prepare leaders for important decisions, and ensure commitments move forward.

The Executive Assistant will have visibility into key business priorities, leadership discussions, customer and stakeholder engagements, and cross-functional initiatives across EBAD. This is an opportunity for someone who enjoys variety, exercises sound judgment, builds credibility quickly, and takes pride in making a meaningful difference behind the scenes and in the moments that matter most.

Based onsite in Simsbury, CT, this high-impact role is also designed as a strategic development opportunity. Over time, the successful candidate will gain exposure to the President's priorities and executive operating rhythm, with the potential to become a successor to the Executive Assistant to the President.

Key Responsibilities


  • Serve as a trusted executive partner to the VP of Operations and VP of General Managers.
  • Create clarity and structure around complex calendars, competing priorities, travel, meetings, and executive commitments.
  • Anticipate needs, identify potential conflicts, and help leaders prepare for important decisions and conversations.
  • Prepare agendas, briefing materials, presentations, talking points, meeting summaries, and follow-up communications.
  • Coordinate leadership meetings, operating reviews, one-on-ones, customer visits, town halls, team-building events, and stage gate reviews.
  • Track decisions and action items, helping leaders and cross-functional teams maintain momentum and accountability.
  • Draft polished communications and represent senior leaders with professionalism and sound judgment.
  • Build strong relationships across EBAD and gain cooperation without relying on formal authority.
  • Handle confidential information involving employees, customers, financial matters, business strategy, organizational changes, and executive decisions.
  • Improve the systems, processes, and operating rhythms that help the executive team work more effectively.
  • Support high-priority cross-functional initiatives and special projects that require coordination, judgment, and follow-through.
  • Partner with the Executive Assistant to the President to gain exposure to executive-level priorities, leadership activities, and strategic initiatives.
  • Provide occasional backup support for front desk coverage and administrative operations when needed.

What We Are Looking For

We are looking for an experienced executive support professional who is energized by a fast-paced environment and motivated by making leaders and teams more effective.

The ideal candidate will:


  • Have 10 or more years of progressive experience supporting C-suite executives, business unit presidents, general managers, or senior functional leaders.
  • Think ahead, recognize what is important, and take initiative without waiting to be directed.
  • Bring strong business judgment and the confidence to appropriately challenge, clarify, or escalate when needed.
  • Communicate with polish, professionalism, and executive presence.
  • Be highly organized while remaining flexible when priorities shift.
  • Know how to manage sensitive information with maturity, discretion, and integrity.
  • Build trust quickly with executives, employees, customers, and external partners.
  • Be comfortable coordinating complex meetings, events, travel, and special projects from beginning to end.
  • Take ownership of follow-through and ensure important commitments do not get lost.
  • Ability to partner effectively with senior leaders and cross-functional teams across a complex, multi-site organization.

Qualifications


  • Minimum of 10 years of progressive executive support, executive business partner, chief of staff, business operations, or related experience.
  • Bachelor's degree preferred in Business Administration, Communications, or a related field. Relevant experience and demonstrated capability will be weighted more heavily than degree attainment.
  • Strong proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Advanced Outlook calendar management skills.
  • Familiarity with Teams, SharePoint, ERP systems such as IFS, and other business collaboration tools.
  • Experience in aerospace, defense, manufacturing, engineering, technology, or another complex environment preferred.
  • Experience supporting leadership meetings, customer engagements, town halls, or other high-visibility business activities preferred.
