THE POSITION

Westside Commons is currently recruiting for an experienced Event Services Coordinator who will work in collaboration with the Sales & Operations staff to organize, coordinate, and oversee all the events and activities at the Wingspan Event and Conference Center and the Washington County Fairgrounds.

Westside Commons is a 100-acre, multipurpose, year-round event facility that is home of the annual Washington County Fair and hosts a variety of other events. The Event Services Coordinator will be responsible for meeting with clients to determine their event needs, conducting tours of the facility, recommending appropriate space and services, answering questions, finalizing rental arrangements, and ensuring contract compliance. Additionally, this position will be responsible for providing internal services to clients such as audiovisual, inventory set-up and tear-down, scheduling and overseeing the work of third-party contractors including security, parking, catering, janitorial, ticketing and admissions, as well as coordinating and overseeing the work of vendors, contractors, event staff, and volunteers during events. The ideal candidate will have event venue side experience coordinating and servicing events such as consumer shows, trade shows, conventions, performances, sporting events, lectures, conferences, meetings, banquets, receptions, etc. They will also have the ability to use their professional judgment, creativity, and problem-solving skills to ensure events run smoothly, the needs of the clients are being met appropriately, and ensure contract and policy compliance. Additionally, they will have the ability to work independently and collaboratively to deliver results in a fast-paced environment, manage competing events with multiple timelines, and have effective complex problem-solving skills. It is imperative the individual in this role be an effective communicator, verbally and in writing, and be able to establish and maintain cooperative working relationships with a variety of individuals.

MINIMUM QUALIFICATIONS

Education and Experience:

  • An Associate Degree in business or public administration, marketing, event management, or related field and two (2) years of professional-level experience coordinating and operating large events such as fairs, conferences/meetings, or expositions; OR
  • Four (4) years of professional-level experience coordinating and operating large events such as fairs, conferences/meetings, or expositions.
Additional Licenses, Certificates, Physical Abilities and Specialty Requirements:
  • Must possess a driver's license valid in the State of Oregon and have an acceptable driving record.
  • Must have the ability to become AED and CPR certified within the first 90 days of employment.

Selection Process
