Our Health Clinic and Student Health and Wellness Center are seeking to hire a part-time Medical Front Office Assistant. The Student Health and Wellness Center is on the main campus of Lane Community College and offers both health services and counseling services to Lane students. Counseling services are free to students and include individual counseling, walk-in crisis counseling, and group counseling. The Health Clinic provides affordable, accessible, efficient and evidence-based health care to the students of Lane.

Required Education:
High School diploma or equivalent is required.
Required Experience:
At least three (3) years of experience in a clinical or administrative medical office role.
Licensure or Certification Requirements
Current CPR certification or the ability to obtain it within three (3) months of hire is required.

Position Purpose:
The Administrative Medical Office Assistant provides essential front-line support for the Student Health and Wellness Center which provides both health services and counseling services to Lane students. The position serves as the initial point of contact for patients, students, and the public.

This role ensures smooth clinic operations by managing scheduling, medical records, and administrative tasks. The position functions as a liaison between patients and healthcare providers, while maintaining a strong focus on customer service, accuracy, and compliance with clinic, college, and healthcare regulations.
Essential Functions:
Front Desk / Scheduling

  • Greet patients and visitors; provide general information about Student Health and Wellness Center services.
  • Schedule appointments using Electronic Health Records (EHR) and determine appropriate provider, appointment type, and urgency.
  • Verify patient eligibility through systems such Banner.
  • Coordinate Oregon Health Plan (OHP) sign-ups with Medical Assistants
  • Maintain provider and clinic schedules; update templates each term and notify staff of scheduling changes.
  • Perform patient check-in, verify insurance, create or update EHR charts, and manage front desk supplies.
  • Answer multi-line phones, respond to inquiries, and ensure a welcoming and sanitized lobby environment.
  • Process mail, packages, and faxes.
  • Adhere to HIPPA regulations at all times.
  • Maintain a professional atmosphere



Billing

  • Conduct patient check-out and confirm accurate billing entries in EHR.
  • Determine patient/insurance responsibilities, apply write-offs, and issue receipts or invoices upon request.
  • Create and reconcile Daily Batch Report
  • Assist with insurance claim rejections and reconcile patient account charges.


Medical Records

  • Process Release of Information (ROI) requests for medical records in compliance with HIPAA.
  • Input and access records in Oregon ALERT Immunization Registry as needed.
  • Serve as portal administrator for OHP and Trillium, managing user access and technical issues.
  • Scan documentation and correspondence into the appropriate sections of the EHR.
  • Utilize the process for retrieving medical records from archives as needed.
  • Problem solve and manage sensitive information with appropriate awareness of FERPA standards; maintain confidentiality and sensitivity to the privacy needs of students.
  • Other duties as assigned.

Supervision Statement:
Reports to and works under the general direction of the Director. Work is performed independently using previously learned knowledge and professional judgment, according to College policies and applicable laws and regulations. Work is reviewed by observation of the efficient and effective coordination of the department.

Positions in this classification may coordinate and lead the work of hourly employees and student workers. This position may plan work, assign tasks, provide priorities, train and check the work of assigned staff and is available to answer questions and troubleshoot problems on a daily basis. This position has substantial input into hiring decisions and performance evaluations.
Physical Demands/Working Environment:
This position works indoors and is exposed to usual office working conditions that include office noises and interruptions, such as printers, telephones, and visitors. This position requires that an employee is able to sit or stand for extended periods of time; perform cognitive and psychometric work for more than six (6) hours a day. Work may require transporting materials up to twenty-five (25) pounds. Working closely with ill patients can be both physically and emotionally demanding. Work safely.
Knowledge Skills and Abilities:
Knowledge of:


  • EHR systems, medical office software, and general clerical procedures.
  • Medical terminology, ICD-10/CPT coding, billing practices, and immunization requirements.

  • HIPAA, OSHA, other healthcare regulations, and FERPA.

  • Scheduling, documentation, billing reconciliation, and multi-tasking under pressure.
  • Using technology to manage records, billing, and patient interactions.
  • Reacting calmly and effectively in emergency situations.
