Job Summary

Responsible for managing the general activities of assigned areas and/or projects in Ambulatory Care Services (ACS). Provides oversight for ACS sites and services and supports clinical leaders and staff with operations and facility needs. Collaborates with team members, direct manager and clinic program managers and leaders to provide guidance on ACS operations. Participates in multidisciplinary workgroups dedicated to managing and supporting deployment of new initiatives and process improvement. Participates in strategic planning, prepares contracts, conducts process improvement projects, and develops performance standards as assigned. Implements process changes and new initiatives across the organization. Partners with nursing leadership, ambulatory leadership, Medical Group leadership, community members and other key partners.

Essential Functions:

Clinic Operations & Facilities Support 50%

  • Supports clinic leadership and staff with operations and facility-related needs
  • Demonstrates problem-solving skills to arrive at effective solutions.
  • Possesses strong interpersonal and negotiation skills to resolve conflicts and direct issues to a positive outcome
  • Manages and supports capital improvement and equipment process for annual budget process and during implementation
  • Brings to timely and successful completion assigned initiatives and tasks
  • Short-term and long-term identification, planning and coordination of physical plant, equipment and information service's needs
  • Submission and tracking of Engineering and Information Services maintenance and repair requests and follow-up

Incident Response 20%

  • Provides timely and autonomous response to safety and security incidents, mechanical and electrical disruptions, and other emergencies
  • Coordinates with DH departments and outside organizations (DPD, DPS, DFS, vendors/contractors, etc.) to address/resolve issues
  • Participates in clinic decision making, communicates ongoing status to manager and others to support department communications and decision making
  • Partners with Emergency Management during incidents and to complete after-incident reporting when applicable
  • Collaborates with Engineering and other departments on incident prevention in the future
  • Complaint resolution support and coordination to assist program managers in effective administrative and operational effectiveness of the patient experience

Facilities and Regulatory Compliance Oversight 15%

  • Possesses working knowledge of Joint Commission, Fire/Safety/Security, Environment of Care and other regulatory requirements
  • Identifies and addresses issues to maintain a state of continual readiness for clinics and facilities
  • Participates in Joint Commission and Environment of Care tracers and follows-up to ensure identified findings are rectified

New Sites and Services Support 15%

  • Represents clinic and facility as an on-site expert to ensure success of new sites and services projects
  • Complete assigned tasks, participating in stakeholder meetings, and researches regulatory requirements
  • Works with Construction, Engineering, and other DH departments to ensure project progresses to a successful outcome

Education:

  • Bachelor's Degree Required or
  • 4 years of experience in lieu of degree. Required

Work Experience:

  • 1-3 years administrative or professional management experience related to planning and development, operational objectives, and policies in a supervisory capacity. Required

    Knowledge, Skills and Abilities:

    1. Management of budgets including funding from multiple sources.
    2. Strategic planning involving collaboration with outside agencies and community organizations.
    3. Ability to manage data, documentation and tracking.
    4. Knowledge of and ability to use Microsoft Office applications, including Word, Excel, and PowerPoint.
    5. Knowledge of the healthcare regulatory environment
